Job summary

Gray Inc. seeks an Associate Paralegal to join our Lexington, KY office. The role provides administrative and substantive support to the legal team, with responsibilities from drafting notices to coordinating meetings and maintaining files.

The ideal candidate has an associate degree or 1–2 years paralegal experience, strong communication and proofreading skills, and a willingness to learn new processes in a fast-paced environment. On-site position with growth opportunities.

Qualifications

  • Experience in a law firm, construction or engineering firm preferred.
  • Must be physically present in the Lexington office.
  • Strong communication and proofreading skills.

Responsibilities

  • Assist the legal/risk management team in drafting and tracking notices and letters.
  • Provide administrative and substantive support with planning Board and Shareholder meetings.
  • Organize and maintain file system of legal and risk management templates and SOPs; publish updated processes.
  • Analyze current processes and suggest improvements or changes.
  • Act as primary in-office representation for the legal/risk management teams; greet visitors and handle inquiries.
  • Process mail daily, including scanning, logging, and distributing notices and correspondence.
  • Support administrative tasks including expense reports, time sheets, and calendaring team meetings.
  • Review and track legal invoices; identify ways to reduce legal spend.
  • Manage corporate registrations and support licensing and compliance efforts.

Who we want… (Requirements)

The successful candidate will have at least an associate's degree or higher from a college or university; and/or one to two years of experience in a paralegal role either for a company or a law firm. Experience in a law firm, construction or engineering firm, is highly preferred, but not required. Must possess basic computer skills including the ability to utilize word processing, spreadsheets, software, and e-mail. The selected candidate will have excellent communication skills. Must be physically present in the Lexington office. A successful candidate must possess a willingness to learn new programs and develop new processes, as needed, by the department.

Qualifications
What we expect… (Essential Functions)

This position will provide administrative and paralegal support to the legal and risk management team, by performing the following duties:

  • Assist the legal/risk management team in drafting and tracking notices and letters.
  • Provide administrative and substantive support with planning Board and Shareholder meetings.
  • Organize and maintain file system of legal and risk management templates and SOP's and assist to publish updated and new processes for the group.
  • Analyze current processes of the legal/risk management group and suggest/drive process improvements or changes.
  • Act as the primary in-office representation for the legal/risk management teams; including greeting department visitors, handling incoming communications, and serving as central point of contact for administrative inquiries.
  • Process mail daily, including scanning, logging, and distributing notices of furnishings and other correspondence to the appropriate internal teams.
  • Support the legal and risk management team with administrative tasks, including but not limited to completing and submitting expense reports and time sheets, and calendaring team meetings, as requested.
  • Receive, review, approve, and track legal invoices. Evaluates process improvements and ways to reduce overall legal spend.
  • Manage corporate registrations and support licensing and corporate compliance efforts as assigned.
  • Prepare and coordinate content and presentation materials for internal trainings and meetings.
  • While this role has an administrative component, there will be opportunities for special projects, learning, and growth to support a fast-growing group.
  • Work with other members of the legal/risk management team on special projects and initiatives.
  • Meet time sensitive deadlines with accuracy while maintaining a high degree of customer service.
  • Maintain confidentiality of day-to-day business activities.
  • Independently answer questions and direct inquiries to appropriate personnel on behalf of those who he/she supports.
  • May attend meetings or calls on behalf of the others within the legal and risk management team, as appropriate.
  • Other duties as assigned.
