Job summary

Zeta is hiring an Associate or Manager of Specialty Operations to lead the day-to-day management of our specialty programs across the network. You will design scalable systems, oversee enrollment and logistics, and partner with SBOT and school leaders to ensure high-quality, equitable programming that serves students across the Bronx, Upper Manhattan, and Queens.

The role requires a Bachelor’s degree and at least two years of experience building efficient processes in an educational setting.

Qualifications

• Bachelor’s degree and at least 2 years of experience designing and executing efficient systems for scalable programs.
• Experience supporting a growing network of schools and operations teams.
• Comfort with data tracking, reporting, and cross-functional collaboration.

Responsibilities

• Own day-to-day operations of specialty programming across multiple schools, including enrollment, schedules, procurement, inventory, logistics, and communications.
• Design and refine scalable systems and structures for consistency across all schools.
• Track enrollment, usage, and outcomes in spreadsheets/dashboards and surface insights for program improvements.
• Collaborate with SBOT, Operations Directors, and school leaders to ensure smooth programming at every school.
• Serve as primary operational contact for schools and address program-wide feedback with leadership.
• Coordinate with external vendors/partners to deliver high-quality programming and expand student opportunities.
• Represent specialty programming with clarity when interfacing with leaders, staff, and vendors.
• Wear multiple hats in a lean scale-up team and take on new projects as needed.

Our Network Office for Academic Excellence and School Excellence teams is located at 425 Westchester Ave., Bronx, NY 10455. In this role, you can expect to work in person most days, including Tuesdays and Thursdays, as well as other days of the week when your work requires it. Depending on the role, team members may have optional remote days on Mondays, Wednesdays, and Friday, as permitted, along with remote flexibility during academic calendar breaks when school is not in session.

To achieve our vision, we are searching for a talented Associate or Manager of Specialty Operations with a Bachelor’s degree, and at least 2 years of experience, with a proven track record of designing and executing efficient systems and ensuring programs run seamlessly at scale. We are open to hiring at the Associate or Manager level; title and compensation will be determined after assessment of experience, skills, and competencies.

Zeta’s specialty program is a cornerstone of our next-generation school design that engages students in whole child learning through participation in specialty programs such as Music, Taekwondo, Soccer, Chess, Art, Dance, Orchestra, Performing Arts, Athletics, Basketball, Pre-K Specialty, and more.

Specialty activities are the mechanism for students to come to know and challenge themselves. Through specialty activities, students express their sense of self long before they can articulate this sense with words. It is where work is play, where students are willing to put in more work than they might otherwise in pursuit of their goals and of excellence. Big obstacles become fun to tackle; students then learn to think critically about problems, to be creative, to innovate, to problem-solve, to stop at nothing to reach their aims. They learn and practice grit over and over again. Their identity begins to form around these efforts and resultant accomplishments, and they develop character and confidence.

The ideal candidate will bring:

• Background working in schools
• Experience with Salesforce or similar CRM systems
• Experience using AI or automation tools to improve operational efficiency

Responsibilities:

• Own the day-to-day operations of Zeta’s specialty programming, managing enrollment, schedules, procurement, inventorying, logistics, and communications with precision
• Design and refine systems and structures that make specialty programming consistent and scalable across all schools
• Manage data effectively by tracking enrollment, usage, and outcomes in spreadsheets and dashboards, and surfacing insights to continuously improve programming
• Collaborate closely with school-based operations teams (SBOT), Operations Directors, and school leaders to ensure programming runs smoothly at every school
• Serve as the first point of contact for schools on operational questions regarding our specialty programs, and surface feedback to address across the organization
• Coordinate with external vendors and partners to deliver excellent programming that expands opportunities for students
• Represent specialty programming with clarity and confidence, bringing strong organizational presence when interfacing with leaders, staff, and vendors
• Wear multiple hats as a part of a lean scale-up team, supporting the work of others on the team and taking on new projects and tasks as needed

We are hiring for an immediate opening and onboarding on a rolling basis. The salary range for this position is between $70,000 and $100,000. New hires can expect to be brought into the organization at a salary at or near the start of the range, depending on relevant educational leadership experience and internal equity. This position is eligible to receive an annual discretionary, merit-based performance bonus.
