Job summary

The National Football League is seeking an Associate, Hotels & Meetings to support the Live Events team in planning and executing tentpole events and executive meetings, with a focus on hotel management, meeting planning and execution. This is an onsite, long-term hourly contract at the NFL League Office in New York, NY.

Responsibilities

  • Manage the execution of 100+ hotel contracts for future events and assist with onboarding through supplier portal.
  • Assist with the RFP process and hotel sourcing strategy for NFL International Games, identifying staff, vendors, and headquarters hotel accommodations while managing contract negotiations.
  • Support the Super Bowl hotel assignment process by working with departments and partners to assign 20,000 rooms.
  • Manage hotel reservations for 800+ attendees at tentpole events including Super Bowl and International Games.
  • Execute Super Bowl headquarter hotel operations: contract management, reservations, meeting space logistics, F&B, signage, and vendor coordination.
  • Coordinate planning meetings across all tentpole events, sourcing hotels via RFP platform and tracking proposals.
  • Lead on-site event management for Owners Meetings and department meetings including room blocks, client check-in, credential distribution, and registration.
  • Attend planning meetings for current and future tentpole events and outline goals for each trip.
  • Work cross-functionally with internal departments on meetings throughout the year.
  • Reconcile budgets and invoices with finance for tentpole events and meetings.
  • Support the team with contract management, updating the special events calendar and budgets.

Associate, Hotels & Meetings (External Agency Staff)

The NFL Live Events team is responsible for the planning and execution of the league’s tentpole events and International Games. The Associate position plays an integral role in supporting the Events team with the execution of all tentpole events and executive meetings with a focus on hotel management, meeting planning and execution.

This is a long-term hourly contract opportunity based onsite at the NFL League Office in New York, NY.

Responsibilities:

  • Manage the execution of 100+ hotel contracts for future Super Bowl and Draft bids and assist with onboarding process through our supplier portal.
  • Assist with the RFP process and hotel sourcing strategy for NFL International Games, which includes identifying and securing staff, vendor, and headquarters hotel accommodations while managing contract negotiations, and working with Finance on budget considerations.
  • Support the Super Bowl hotel assignment process by working closely with departments and partners assigning 20,000 rooms.
  • Manage hotel reservations for 800+ attendees at all tentpole events which include Super Bowl, Pro Bowl, Combine, Draft, Flag Championships, Hall of Fame, Kickoff, International games and meetings.
  • Execute Super Bowl headquarter hotel operations that include contract management, hotel reservations, meeting space logistics, food & beverage, signage, and vendor coordination.
  • Coordinate planning meetings across all tentpole events for current year and future. This entails sourcing hotels through our RFP platform and tracking proposals.
  • Lead effort for on-site event management for Owners Meetings and department meetings including room block management, client check-in, credential distribution, and registration.
  • Attend all planning meetings, as needed for current and future tentpole events and outline goals and objectives for each trip.
  • Work cross functionally with various internal departments on meetings throughout the year.
  • Reconcile budgets and invoices with finance team on for all tentpole events and meetings.
  • Support the team in various capacities including contract management, updating the special events calendar and tracking budgets.

Required Qualifications:

  • Minimum 2 years of hotel with a focus on room management and function room operations

Preferred Qualifications:

  • Experience with hotel contracts, negotiating, and meeting planning
  • Experience with Meeting Evolution, Cvent or other event registration sites
  • Strong Microsoft Excel and PowerPoint skills
  • C level/VIP management and service
  • Knowledge in RFP creation and process

Physical Demands:

This is a Special Events hotel and VIP management role, at times may require physicality. This could involve lifting, long hours of standing and physical movement during an event and extensive travel requirements.

Travel:

Significant domestic and international travel required, including some weekends, up to 50%. Several weeks on the road during event delivery.

Terms /Expected Hours of Work:

This job posting is for a position with one of the NFL’s third-party agency partners that provides services to the NFL. The individual selected for this role will be an employee of that third-party agency and not the NFL. All compensation, benefits, and other terms and conditions of employment are handled by the agency. The assignment to provide services to the NFL will be limited in duration but may be extended for an additional period by agreement between the NFL and the agency.

Salary / Pay Range:

$25 - $30 USD
