The Associate Facilities Administrator is responsible for coordinating maintenance, repairs, vendor management, and office services to support business operations. Duties include managing building systems, ensuring workplace safety, handling administrative tasks related to facility management, supervising mailroom operations, and assisting with budgeting and compliance.

Essential Key Responsibilities

  • Assists in the direction and coordination of the department's day-to-day operations including building and property maintenance, project management, custodial services, and mailroom operations.
  • Assists in development, implementation, and administering of Facilities plans, programs, policies, and procedures.
  • Participates in the development, review, and updates to the Dun & Bradstreet Facilities Plan.
  • Assists in the preparation, administration, and monitoring of the department budget and rate structure.
  • Monitors vendor partners and contingent workers for compliance with departmental policies, procedures, regulatory requirements, and safety practices.
  • Assists in planning, developing, and managing facilities projects; reviews standards, requirements, and contract documents; reviews project designs for compliance with project requirements and standards.
  • Performs a variety of project management functions; recommends project acceptance; coordinates project activities with outside vendors; conducts project meetings and inspections when necessary.
  • Supervises all mailroom operations. Assists in supervising café operations with the Chef and vendors.
  • Prepares and maintains a variety of departmental records, reports, and documentation.
  • Responsible for digitization and scanning of sensitive, high- level D&B documents and mail.
  • Prioritizing and creating a maintenance compliance calendar with Building Engineer. Additional duties as assigned.
  • Education and Experience

  • Associate's degree required with 2 to 5 years of relevant experience
  • Essential Skills and/or Certifications

  • Associate's degree or equivalent or technical school and a minimum of two years related experience and/or training.
  • Knowledge or experience working/processing work in one or more of the following: HVAC, electrical, mechanical, HVAC and refrigeration systems, process controls, mechanical power transmissions, painting, plumbing, carpentry, or engine repair.
  • Familiar with maintenance or facility operations to include vendor management, safety, maintenance, and organizing maintenance schedule is a must.
  • Highly organized and able to manage multiple priorities.
  • Ability to solve problems that require advanced analytical and quantitative skills.
  • Ability to comprehend, analyze, and interpret complex documents.
  • Ability to provide efficient, timely, reliable, and courteous service to peers and vendors.
  • Ability to respond effectively to sensitive issues.
  • Excellent communication skills (Both Oral and Written) and presentation skills.
  • Proficiency in Microsoft Office Suite skills.
