Job description

The HRIS Administrator serves as the first line of support for HRIS applications and performs day-to-day configuration and maintenance within established standards. This role assists HR, Payroll, and Timekeeping teams with issue resolution, user support, and system documentation, and owns routine, low-risk configuration changes so the HRIS Administrator can focus on complex configuration, integrations, and system design. The position works closely with the System Administrator, who provides direction, review, and approval for configuration work outside the scope defined below.

Tier 1 Support

Serve as the first point of contact for HRIS-related support requests from HR, Payroll, managers, and employees. Triage, prioritize, and resolve Tier 1 tickets within defined service levels; escalational complex issues to the HRIS Administrator, HRIS, or IT with complete documentation. Troubleshoot and resolve issues related to timekeeping, scheduling, accruals, and employee data within HR Systems. Perform employee record corrections and mass updates using approved tools and templates, verifying results before and after each change.

Documentation, Knowledge Base, and Training

Document support tickets, resolutions, and recurring issues; identify trends and recommend fixes that reduce repeat tickets. Maintain a knowledge base of how-to guides, job aids, and troubleshooting steps for common issues. Maintain training materials and provide user guidance and training on HRIS functionality.

Day-to-Day Configuration

Maintain routine system setup such as job codes, locations, org levels, supervisor assignments, and other validation tables. Manage user access, role assignments, and security permissions in line with approved security roles and access request procedures. Update workflow approvers, notifications, and routing as organizational changes occur. Maintain timekeeping setup such as employee group and pay rule assignments, schedule patterns, holiday calendars, and accrual profile assignments.

Reporting and System Content

Build and maintain standard reports, saved queries, and dashboards; update existing report filters and distribution lists. Maintain company announcements, onboarding task lists, forms, and document libraries within HR systems.

Change Management

Follow change management practices for all configuration work: test changes in a non-production environment where available, document what changed and why, and obtain approval as required.

Testing, Data Integrity, and Compliance

Support testing and validation of HRIS releases, updates, and patches, including regression testing of key processes. Assist the System Administrator with testing larger configuration projects and new functionality. Monitor data integrity through regular audit reports and correct discrepancies at the source. Assist with audits, compliance reporting, and periodic user access reviews.

Scope and Escalation

The following remain the responsibility of the HRIS Administrator; this role may assist with testing and documentation but does not make these changes independently: pay rules, pay calculations, earnings and deduction setup, and tax configuration; accrual policy and benefit plan design; integrations, interfaces, and API connections; new security role design or changes to existing security role definitions; and new module implementations and major system redesigns.

Participates as a member of the Team

Participates in the ongoing development, communication and implementation of team concepts, programs, and policies; coordinates work to ensure best practices with all team members. Attends appropriate team meetings. As a member of the Team, fosters strong cohesiveness regarding all major issues, e.g., direction, annual plan, budget, policy changes, etc. Accepts responsibility to quickly identify any areas that lack cohesiveness, bringing them to the attention of the team leader and working with the team in a supportive manner to resolve issues and actively look for ways, and reinforce actions needed, to achieve synergy possible within the larger organization.
