JOB DESCRIPTION

CITYarts, a trailblazing art and education organization in NoHo since 1989, is searching for a driven, creative, and highly organized individual to join our team as an Assistant to the Director/Office Administrator. DUTIES & RESPONSIBILITIES

  1. Be the right hand to the Executive Director—manage communications, research, scheduling, and travel arrangements.
  2. Oversee office operations—purchasing, invoicing, staff and intern onboarding, and day-to-day administration.
  3. Engage with the Board of Directors—coordinate meetings and materials.
  4. Lead PR and press outreach—craft newsletters and press releases, coordinate with media.
  5. Drive social media strategy—collaborate with interns to create compelling content across Instagram, Facebook, LinkedIn, and X.
  6. Plan unforgettable events—assist with our Annual Gala, exhibitions, and special events.
  7. Manage internship programs—recruit, supervise, and guide interns while tracking their contributions.
  8. Oversee benefit art auctions—track sales, packaging, and shipments.
  9. Light bookkeeping—track expenditures and assist with financial records.
  10. Maintain and update our CRM (Salesforce) and website (Squarespace).

QUALIFICATIONS

Who You Are:

  1. At least 1 year of experience in arts administration or a related field.
  2. Passionate about the arts and nonprofit work.
  3. A self-starter with excellent organizational skills and attention to detail.
  4. A strong communicator, both written and verbal.
  5. Tech-savvy—proficient in Microsoft Office, Google Suite, and ideally familiar with Salesforce and Constant Contact.
  6. Comfortable multitasking and managing multiple projects with urgency and efficiency.
  7. A team player with an entrepreneurial spirit—ready to take initiative and help CITYarts grow.
