Job description

Capitan Construction is seeking a hands-on, highly organized assistant superintendent/project coordinator to help keep our commercial construction projects moving efficiently from start to finish.

This is a field-focused role for a proactive construction professional who takes ownership, solves problems, and stays ahead of the work. You’ll serve as the project manager's boots on the ground, coordinating subcontractors, crews, materials, schedules, jobsite conditions, quality control, and punch-list items across multiple active projects.

We’re looking for someone who doesn’t wait to be told what needs to happen next. You anticipate needs, follow up, identify problems early, and communicate clearly when an issue could impact cost, quality, scope, schedule, or the customer. Simply put: your job is to keep projects organized, professional, and moving forward.

Primary Responsibilities:
Field Coordination and Project Execution
  • Coordinate daily field activities across multiple active projects
  • Confirm subcontractor and internal crew schedules before scheduled work
  • Verify jobsites are ready before crews and subcontractors arrive.
  • Coordinate access, staging, deliveries, equipment, and other field requirements
  • Communicate daily priorities and schedule expectations to field personnel
  • Visit active projects regularly to verify progress and identify issues.
  • Keep project managers informed of schedule changes, delays, field conflicts, and decisions requiring their involvement.
  • Proactively identify upcoming project needs rather than waiting for problems to occur.
Subcontractor Coordination
  • Maintain regular communication with subcontractors regarding schedules and project requirements
  • Confirm subcontractors have the necessary information, materials, access, and site conditions to perform their work.
  • Verify subcontractor work is progressing according to schedule and scope
  • Immediately escape scope conflicts, quality concerns, delays, or potential change order conditions to the project manager
  • Coordinate return visits, corrections, and punch list work when required
Materials and Procurement Coordination
  • Track critical materials and equipment needed for active projects
  • Confirm material orders and anticipated delivery dates with the project manager and office
  • Verify deliveries arrive when expected and contain the correct materials.
  • Coordinate material pickup or delivery when necessary
  • Identify missing, damaged, incorrect, or delayed materials before they impact the construction schedule.
  • Maintain awareness of what materials are required for upcoming phases of each assigned project
Schedule Management
  • Maintain a clear understanding of the current schedule for every assigned project
  • Confirm upcoming trades and activities several days in advance.
  • Identify potential scheduling conflicts before they create delays
  • Coordinate schedule adjustments with project managers, subcontractors, suppliers, and internal crews
  • Provide project managers with accurate field updates so customers can receive timely and reliable information
Quality Control
  • Regularly inspect work in progress for workmanship and compliance with Capitan Construction standards.
  • Compare completed work against project scopes, plans, specifications, and project manager direction
  • Document deficiencies and coordinate corrections
  • Create and manage punch lists
  • Verify punch list items are completed before requesting final project manager inspection
  • Help ensure jobsites are clean, professional, organized, and customer-ready.
Project Documentation and Communication
  • Take clear progress photographs and maintain appropriate project documentation.
  • Provide concise field updates to project managers
  • Document delays, changed conditions, damage, subcontractor issues, and other significant field events
  • Communicate immediately when a condition may affect cost, schedule, quality, or customer expectations.
  • Assist with project closeout documentation as required

What Remains With the Project Manager

This position supports the project manager but does not replace the project manager.

Project managers will continue to own:
  • Primary customer relationships
  • Initial project and RFP site walks
  • Measurements and scope development
  • Estimating and pricing
  • Proposal development
  • Contract and scope decisions
  • Project financial performance
  • Approval of significant changes
  • Customer communication involving major schedule, scope, or cost issues
  • Strategic project planning
  • Final customer and quality control walks

The Assistant Superintendent/Project Coordinator handles the day-to-day execution so the Project Manager can spend more time on estimating, customer relationships, preconstruction, planning, and developing additional work.

Office Hours: Monday–Friday, 7:30 a.m.–4:30 p.m., with occasional Saturdays as business needs require.
