Job summary

Nwestco LLC in Spokane, WA is seeking an Assistant Service Manager to oversee field service operations and improve efficiency across the organization.

You will manage work orders, timesheets, accounts receivable, licenses, and reporting while mentoring technicians and coordinating with branch leadership to deliver best-in-class service.

Responsibilities

  • Work Orders: Maintain and update service management software daily; process all work orders and warranty claims.
  • Margin: Collaborate with Branch Manager to increase margin and efficiency.
  • Timesheets: Review technicians' time entries weekly for billing and payroll.
  • Accounts Receivable: Manage AR and past-due invoices with administrative staff support.
  • Licenses and certification: Maintain renewals for technicians; follow up on lapsed renewals.
  • Reports: Provide daily/weekly reports for management use; compile and file records accurately.
  • Annual Reviews: Review employees under supervision per policy and standards.
  • Chain of Command: Align with org chart and coordinate with President, CFO, Finance, and other Service Managers.
  • Meetings: Organize safety, efficiency, and service quality meetings.
  • Training: Train personnel and cross-train as needed.
  • Policies and Procedures: Enforce company policies and SOPs; suggest improvements.
  • Perform other duties as directed by Branch Manager.

Your Mission:
  • Work Orders: Maintain and keep service management software up to date on a daily basis. This includes processing all Work Orders, managing past-due Work Orders, and processing all warranty claims.
  • Margin: Work with the Branch Manager and Senior Manager of Service to increase margin and efficiency.
  • Timesheets: Weekly review of technician’s time entries for billing and payroll.
  • Accounts Receivable: Maintain Accounts Receivable and manage past-due invoices with the assistance of the administrative staff. Communicate directly with customers who are not responding to the administrative staff
  • Licenses and certification: Manage and maintain all licenses and certification renewals for technicians. Follow up with technicians who are falling behind on renewals.
  • Reports: Provide necessary reports on a daily, weekly or other timely basis that will be used by management to assist in the efficient operation of the company. Compile, review, and turn in files, reports, or records in an accurate and timely manner.
  • Annual Reviews: Review annually all employees under direct supervision in a manner consistent with company policy and standards.
  • Chain of Command: Maintain organization guidelines as established by the organizational chart utilizing the chain of command by working with the other department managers, especially the President, CFO, Finance, and other Service Managers.
  • Meetings: Attend meetings as directed by the Branch Manager. Organize regular meetings on the topics of safety, efficiency, and Best-in-Class service.
  • Training: Train personnel in methods and procedures, including sufficient cross-training of personnel assigned.
  • Policies and Procedures: Implement and enforce company policies, established procedures, and the directives of the branch manager to ensure compliance with company standards. Adhere to SOP, and recommend changes or improvements when necessary.
  • Perform any other duties as directed by the Branch Manager.

Before You Leap:

Some positions require travel and overnight stays. Travel expenses will be covered by Nwestco, LLC

All job offers are contingent upon successful completion of the following:

Ability to pass pre-employment physical with extensive lifting (up to 75 lb), twisting, pulling, kneeling, and squatting.

Ability to pass pre-employment drug-screening and background check. This position is classified as safety-sensitive, it requires the applicant to pass a comprehensive drug test, including screening for marijuana, as a condition of employment.

Driving Requirement: This position requires regular operation of a Company vehicle. Applicants must be at least 21 years of age, possess a current, valid and unrestricted driver’s license, and have no DUI convictions or driver’s license suspensions or revocations within the past five (5) years. Employment is contingent upon verification of an acceptable motor vehicle record and meeting the Company’s automobile insurance eligibility requirements.
