Job summary

The Wright Center is looking for a Ryan White Program Assistant in Scranton, PA. This role provides vital administrative support to the HIV & Preventative Services Director and involves a variety of responsibilities including managing client communications, data entry into Careware, and oversight of hygiene product distribution.

The ideal candidate will have an Associate degree, experience with health care services for clients with HIV/AIDS, and excellent communication skills. This is a critical role in contributing to effective patient care and program support.

JOB SUMMARY

The Ryan White Program Assistant provides administrative and programmatic support to the Director of HIV & Preventative Services, clinical team and Case Management team. The Ryan White Program Assistant must be able to work independently while carrying out numerous assignments. The position helps to ensure timely and coordinated access to medically appropriate levels of health and support services and continuity of care. The position includes face to face and phone contact with clients, supporting organizations, and interaction with administrative and clinical staff. The position will be responsible for managing the personal hygiene program, assisting with outreach and retention programs, and contributing to reports and grant applications as appropriate. Data entry of required information into Careware. The position will help develop policies and procedures, assist in managing budgets, and participate in quality improvement. Provides initial and ongoing assistance in a culturally competent and linguistically relevant manner. Work is performed under the direct supervision of the Director of HIV & Preventative Services. Knows TWCCH Mission, Strategic Plan and Core Values and demonstrates a commitment to patient satisfaction for all patients on a regular basis.

REPORTING RELATIONSHIPS

The position reports to the Director of HIV & Preventative Services.

JOB DUTIES AND ESSENTIAL FUNCTIONS

While living and demonstrating our Core Values, the Ryan White Program Assistant will:

  • Communicate with patients, case managers and clinic staff, regarding patient status of SPBP applications.
  • Assist in enrolling patients in but not limited to ADAP/ SPBP, manufacturer co-pay assistance programs.
  • Enter data into Careware as appropriate.
  • Enter all medical transportation services into Careware monthly
  • Monitor and distribute the fax inbox
  • Support the Medical Case Management team in delivery of job function, reporting and client interactions
  • Support the Ryan White Clinical team in delivery of job function, reporting and client interactions
  • Manage Case Management mail including for clients who use TWC as their mailing address.
  • Oversee and manage the personal hygiene product program including shopping for, inventorying, and overseeing distribution.
  • Assist with schedule transportation for Part C clients
  • Validate off credit card purchases are approved, coded and uploaded into credit card system
  • Communicate with and coordinate all treatment approvals with referral organizations
  • Assist with client retention efforts and outreach
  • Submit patient financial requests for approval to the Director of HIV & Preventative Services
  • Submit all approved financial requests to the finance department for processing
  • Other assigned office related tasks.
  • Perform other duties as assigned.
QUALIFICATIONS

  • Buy in and experience working in the EOS® model (strongly preferred)
  • Mission-oriented; represents the enterprise in a professional manner while demonstrating organizational pride
  • High school diploma or equivalent
  • Associate of Arts degree required in social sciences, health or human services preferred.
  • Must be able to read, understand, and interpret rules, regulations and instructions pertaining to health insurance and other public benefit programs.
  • Ability to establish and maintain effective working relationships with a variety of clients who are living with HIV/AIDS in order to collect, verify, organize and analyze information to determine eligibility for health insurance coverage, medication assistance or premium assistance programs, and other public benefit programs.
  • A minimum of three (3) years recent hospital, health care clinic or community experience serving adults with HIV/AIDS or adults with complex medical, social and community living needs who require multiple community based supports and experience connecting them to appropriate care or benefit programs is preferred.
  • Ability to work with individuals from various ethnic, cultural and socio-economic backgrounds including the Lesbian, Gay, Bisexual, Transgender (LBGT) community in a culturally competent non-judgmental manner.
  • Knowledge of medical terminology and insurances
  • Proficiency in Word, Excel, PowerPoint and E-mail
  • Must be reliable and punctual
  • Must have attention to detail
  • Must be able to perform effectively in a fast paced environment with many changing priorities
  • Must be professional and customer service oriented to deliver quality excellent care
  • Ability to work independently and with a team
  • Professional written and verbal communication and interpersonal skills
