Summary

To be responsible as an assistant to and under the supervision of the Business Manager for all phases of the operation of an apartment community, including, but not limited to, the general administration and maintenance; to direct and control all personnel and resources to ensure the community is maintained in good physical condition with a stabilized fiscal operation.

Essential Duties and Responsibilities
  1. Participate actively with staff, Business Manager, Marketing Department, and Regional Portfolio Manager in advertising, leasing, and community contacts to maximize occupancy.
  2. Prepare, process, and sign all Rental Agreements and related forms in the Business Manager's absence.
  3. Audit all lease files for accuracy.
  4. Manage all monies received, including rent, and handle delinquent accounts, ensuring proper labeling and storage.
  5. Complete all deposits following company procedures.
  6. Manage collection processes for write-offs, including preparing documents for collection agencies.
  7. Oversee move-ins and move-outs, focusing on apartment inspections.
  8. Resolve resident issues promptly and courteously, informing the Business Manager.
  9. Create and implement a resident retention plan and utilize interpersonal selling techniques to lease apartments.
  10. Maintain company standards for shop scores.
  11. Assist with weekly leasing goal setting.
  12. Maintain current knowledge of competition and translate this into selling benefits for the property.
  13. Assist with market surveys and monitor their accuracy.
  14. Perform bookkeeping procedures as assigned.
  15. Ensure a clean, safe, and well-maintained community for residents.
  16. Handle all service requests promptly, prioritizing as necessary.
  17. Supervise personnel and outside contractors in the absence of a Business Manager or Leasing Manager.
  18. Follow all maintenance and purchasing directions.
  19. Report accidents and emergencies immediately following emergency procedures.
  20. Inspect the community and record deficiencies for referral to the Business Manager.
  21. Coordinate with Service Team and vendors to minimize downtime of market-ready units, maintaining a three-day turnaround between move-out and new move-in.
  22. Maintain property operations according to LPR standards and policies when the Business Manager is absent.
  23. Manage online reputation.
  24. Adhere to a professional dress code.
  25. Follow all company accounting procedures, including daily bank deposits, budget management, and purchase approvals.
  26. Ensure all required reports are accurate, complete, and submitted timely.

Education/Experience

High school diploma or equivalent; at least one year of related experience and training, or an equivalent combination of education and experience.

Language Ability

Ability to read and interpret documents such as leases, notices, and move-in/move-out paperwork; ability to write routine reports and correspondence.

Math Ability

Ability to perform basic arithmetic operations and compute rates, ratios, and percentages.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions and solve problems involving multiple variables in standardized situations.
