A leading real estate firm is seeking an Assistant Property Manager to oversee a prestigious Class A office property in New York. This role is crucial for managing tenant relations, ensuring compliance with regulations, and executing the property budget. The ideal candidate is detail-oriented, has excellent communication skills, and possesses a solid background in property management.

Job Summary:
The Assistant Property Manager is responsible for assisting with the management of a Class A, commercial office property with high profile tenants, large amenity offerings, and a retail component. Responsibilities involve a broad range of property management functions, including, but not limited to, budget preparation and execution, building operations, facility maintenance and repair, tenant relations, and project management.
Responsibilities:
Property Management:
Oversee the daily operations and maintenance of the building; ensuring that they are run in accordance with RXR’s standards and processes as well as remain in compliance with all codes, laws, and environmental concerns.
Maintain all necessary files and certifications, both electronic and hard, to RXR standards including Certificates of Insurance. Monitor and respond to emails, phone calls and texts after business hours.
Perform regular tours of the building to ensure proper maintenance, safety, integrity of the building, and fulfillment of staff, contractor, vendor and tenant responsibilities. Including executing routine property inspections and maintenance programs.
Budget Management:
Assist in preparation of the Annual Budget,Capital Budget,and Monthly Financial and Asset Reportsas well as completing AR Reports and purchase orders.
Review and recommend approvals for issuance of purchase orders and maintain accurate tracking and payment of vendor invoices.
Establish superior tenant relations, engagement, satisfaction, and retention by maintaining a high-level of involvement with tenants through first class customer service, frequent interaction and building events.
Respond to tenant needs, ensuring administrative and building technical staff promptly resolve problems. Analyze tenant requests and assess for systematic issues and opportunities for improvement.
Ensure that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards. Work closely with engineers to manage and evaluate contractors’ performance and adherence to the terms of each agreement.
Project Management:
Assist the Property Manager in the creation and distribution of requests for proposals, service agreements, and purchase orders in accordance with established RXR policies and procedures.
Coordinate and attend project meetings and report back to the organization.
Effectively and regularly communicate with the Property Manager regarding ongoing projects and activities at the property performed by building staff, tenants, and third-party contractors.
Engender superior employee/labor relationswhile ensuring property personnel and trades are compliant with Building Rules and Regulations, City codes and ordinances, labor regulations and collective bargaining agreements.
Direct and supervise staff as instructed by the Property Manager, working to identify training needs, track performance, coach, and mentor direct reports.
Provide formal supervision to individual employees within a work unit and/or group, using sound judgement to diligently respond to and resolve problems in a timely manner, escalating issues when necessary.
Qualifications:
Understanding and Implementation of Sustainability Initiatives: The ability to develop and implement a narrative about the property that supports the community, and RXR's corporate and sustainability goals. Able to collaborate with the RXO team to support tenant engagement and an office sector community.
Project Management & Logistics Oversight: Demonstrates expert understanding and implementation of project management, logistics, vendor management, VIP/Tour preparation, etc. Effective at providing direction on projects from start to finish while clearly communicating goals and timelines, requiring accountability, and regularly meeting with staff to answer questions and provide direction.
Vendor Contract Management: Expert understanding, effective, and efficient execution of Vendors Contract Management. Including: go to market, scoping, Bidding Process/Leveling, Approval Process, written communication to vendors, contract completion and sign off and system management.
Property Management Budgeting and Reporting: Excels at developing accurate budgets and Periodic reporting as required. Applies the understanding of key financial indicators to make business decisions. Understands the energy market and the effects of changes within that market.
Accountable: Holds self-accountable to meet commitments in accordance with deadlines while maintaining accuracy in their work. Self-directed to communicate status; takes ownership for decisions, actions, and failures.

Knowledge Areas
Expert understanding of the breadth and depth of infrastructure and operations systems of commercial properties (HVAC, Plumbing, Electrical, Telco, Roofing, etc.) and pertinent NYC Local Laws.
Expert understanding of preventative maintenance programs, inspections, local law requirements, code compliance, etc.
Property Management Software (Avid, Kardin, Watchwire, Jaffa Violations Tracking, tenant work order system and Utilivisor) preferred
Microsoft Office Suite, especially Excel required
Project Management Software (Monday.com) preferred
Education and Experience
Bachelor’s level degree in Business or related field.
A minimum of one (1) year as an Assistant Property Manager of a Class A high-rise commercial office property.
Two to three years of progressively responsible related experience in a commercial property, tenant management or hospitality setting; or any combination of education, training and experience, which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
RPA, FMA, LEED and related designations preferred

Pay Range
$75,000 - $99,999 USD
