Job summary

Qualifications

  • 1-3 years of experience in property management, leasing, administrative support, customer service, or a related field.
  • Residential leasing experience preferred.
  • LIHTC, HUD, affordable housing, or subsidy program experience preferred.
  • Working knowledge of rental housing programs and property management operations.
  • Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Bilingual skills are a plus.

About the role

This is not a remote position.

The Assistant Property Manager & Leasing Consultant plays a critical role in supporting daily property operations while driving occupancy and resident satisfaction. This position partners closely with the Property Manager and Regional Property Manager to drive administrative functions, leasing activities, resident relations, rent collections, and compliance requirements.

The ideal candidate is customer-focused, highly organized, and comfortable balancing multiple priorities. This role interacts directly with prospective and current residents, coordinates with maintenance teams, and helps ensure the financial and operational success of assigned communities.

What you'll do

Leasing & Occupancy

  • Generate and manage prospective resident leads.
  • Respond promptly to inquiries through phone, email, text, and other communication channels.
  • Qualify prospective residents and schedule property tours.
  • Conduct apartment tours and lease available homes.
  • Assist applicants throughout the application and approval process.
  • Maintain accurate records of prospective residents and leasing activity.
  • Monitor and maintain waiting lists of qualified applicants.
  • Process move-ins, move-outs, lease renewals, and resident transfers.
  • Prepare move-in and move-out documentation and coordinate occupancy activities.
  • Ensure maximum occupancy through effective leasing and resident retention strategies.

Property Operations & Administration

  • Collect, post, and deposit rent payments, subsidy payments, and other property income in a timely manner.
  • Assist with rent collection efforts and delinquency processes.
  • Maintain accurate resident, applicant, and property records.
  • Organize and maintain resident and subsidy program files.
  • Remain proficient in all required property management software platforms.
  • Answer phones, assist visitors, and manage general office responsibilities.
  • Complete reports and administrative tasks accurately and on schedule.
  • Perform general filing and other duties as assigned.

Resident Relations & Customer Service

  • Deliver exceptional customer service to prospective and current residents.
  • Respond to resident concerns promptly and professionally.
  • Assist with resident retention initiatives and community engagement events.
  • Prepare and deliver resident notices as needed.
  • Assist in addressing lease violations and enforcing community policies.
  • Maintain positive relationships that encourage long-term residency and satisfaction.

Compliance & Affordable Housing Programs

  • Support initial, interim, and annual recertifications in accordance with HUD and applicable affordable housing requirements.
  • Send and track required recertification notices.
  • Maintain compliance with LIHTC, HUD, subsidy, and other housing program regulations.
  • Ensure resident records and property files remain audit-ready and accurately maintained.
  • Comply with all company policies and applicable federal, state, and local regulations.

Maintenance Coordination

  • Coordinate with maintenance teams regarding move-ins, move-outs, and apartment readiness.
  • Inspect apartment homes prior to move-in and assist with turnover inspections.
  • Enter, monitor, and follow up on resident service requests and work orders.
  • Conduct regular inspections of apartment homes, common areas, amenities, and property grounds.
  • Assist with maintaining curb appeal standards and documenting maintenance activities.
  • Charge resident accounts appropriately and maintain accurate receivables.
  • Process security deposit refunds, forfeitures, and interest calculations.
  • Assist residents with connecting to available eviction prevention resources and programs.
  • Support the property's financial performance through timely collections and accurate account management.
  • Participate in community outreach efforts and marketing initiatives.
  • Monitor local market conditions and competing communities.
  • Support promotional activities that increase occupancy and strengthen resident retention.

Qualifications

  • High school diploma or equivalent required.
  • 1-3 years of experience in property management, leasing, administrative support, customer service, or a related field.

  • LIHTC, HUD, affordable housing, or subsidy program experience preferred.
  • Working knowledge of rental housing programs and property management operations.
  • Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Experience with Entrata preferred; experience with AvidXChange is a plus.
  • Excellent customer service, communication, interpersonal, and organizational skills.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
  • Ability to work independently and collaboratively with on-site and remote teams.
  • Ability to manage difficult situations professionally and effectively.
  • Bilingual skills are a plus.
  • Valid driver's license and reliable transportation preferred.
  • Ability to work flexible hours, including occasional weekends and overtime as needed.
  • Ability to work at property locations within or near transitional neighborhoods.
