Assistant Property Manager - Eastover Ridge
As an Assistant Property Manager, you will perform duties associated with leasing apartments to new tenants and ensuring the smooth operation of the property. Your responsibilities will include:
- Performing duties associated with leasing apartments to new tenants.
- Greeting prospects and qualifying them by covering all criteria.
- Recording all telephone and in-person visits on Guest Cards and in Rent Manager.
- Filing guest cards and maintaining them according to established procedures.
- Inspecting models and available units, communicating related service needs to the Assistant Property Manager.
- Demonstrating community and apartment/model features to prospects; closing the sale.
- Securing prospect applications and deposits in accordance with company procedures and Fair Housing requirements.
- Updating availability reports and processing applications for approvals.
- Ensuring apartments are ready for residents to move in on the agreed date.
- Following up on prospects that did not close and attempting to close the sale again.
- Securing new resident signatures on appropriate paperwork prior to move-in and orienting new residents to the community.
- Assisting in monitoring renewals and distributing renewal notices.
- Monitoring advertising effectiveness and gathering information about market competition.
- Representing the company in a professional manner at all times.
- Operating computers programmed with accounting software to record, store, and analyze information.
- Accepting rental payments and posting rents to the computer.
- Complying with federal, state, and company policies, procedures, and regulations.
- Recording collected monies and preparing bank deposit slips on an ongoing basis.
- Ensuring all proper and legal documents are received, verified, and entered into the computer.
- Communicating with Property Managers regarding invoice accuracy and coding.
- Ensuring all invoices are approved, entered, and paid in a timely manner.
- Accessing computerized financial information to resolve vendor and payment disputes.
- Preparing statements of accounting notices for past residents.
- Preparing and reviewing quarterly and year-end reports.
- Providing accounting support to the Property Manager.
- Assisting in lease transactions by typing leases and gathering applicant history.
- Maintaining accurate monthly commission sheets for bonus purposes.
- Assuming Community Manager's duties in the absence of the immediate supervisor.
- Providing general clerical assistance to the community office.
- Updating required reports concerning move-out notices and activities on a daily basis.
- Organizing and filing all applicable reports, leases, and paperwork.
- Proofreading lease paperwork and processing move-ins and move-outs.
- Accepting service requests from residents and routing them to maintenance for prompt processing.
INCOME COLLECTION
- Maintaining accurate resident records and updating daily all rents, deposits, and application fees received.
- Depositing all receipts prior to bank close each day.
RESIDENT RETENTION
- Receiving all telephone calls and in-person visits; listening to resident requests and concerns.
- Completing maintenance service requests and informing the maintenance team.
- Ensuring all maintenance repairs are handled satisfactorily by contacting residents weekly.
- Maintaining open communication with the Property Manager and Maintenance Supervisor.
- Contributing to the cleanliness and curb appeal of the community.
- Assisting in planning resident functions and participating as a host.
- Enforcing community policies.
- Inspecting the community and reporting service needs to maintenance staff.
- Collecting move-out keys and processing tenant move-outs in Rent Manager.
SUPERVISORY RESPONSIBILITIES
Directly supervises employees in the department, carrying out responsibilities in accordance with the organization's policies and applicable laws, including interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION AND/OR EXPERIENCE
Associate degree (AA or AS) from a four-year college or university; or one to four years related experience and/or training; or equivalent combination of education and experience.
