Job Title

Assistant Property Manager (CRE)

Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator duties if there is no property administrator on the team. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities
  1. Provide full administrative support, including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies in the absence of a property administrator.
  2. Assist in lease administration activities, including abstracting leases and updating our database.
  3. Maintain orderly and logical property files, including leases and contracts.
  4. Prepare and coordinate bid proposals and service contracts.
  5. Obtain aging reports for management and follow up on delinquencies, following C&W or client policies.
  6. Ensure invoices are processed with proper backup and in accordance with procedures.
  7. Coordinate tenant move-ins and move-outs, including furniture delivery and pickup.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, newsletters, and training sessions. Ensure tenant information in the database is current.
  10. Update and maintain office procedures in the property Operations Manual under the manager's guidance.
  11. Ensure Certificates of Insurance for tenants and vendors are current.
  12. Oversee processing of management and staff hours, expense reports, and check requests.
  13. Ensure timely processing of tenant bill-backs for electrical, after-hours HVAC, and similar charges.
  14. Assist in the preparation of annual budgets, monthly financial reports, and bank deposits.
  15. Lead regular property inspections with janitorial, landscape, and other service providers.
  16. Participate in performance oversight of service contractors.

Qualifications

Education: High school diploma/GED required; Bachelor's degree preferred.

Experience: At least 1 year in real estate property management or related field.

  • Proficiency in Microsoft Office Suite
  • Demonstrates initiative and urgency in daily tasks, meeting or exceeding deadlines.
Work Environment

This role operates in a professional office setting, using standard office equipment. Travel between properties in varying weather conditions is required.

Physical Demands

The employee may need to stand, walk, ascend stairs, and operate office machinery, with some outdoor travel in weather conditions.
