Job Description Summary
The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator duties if there is no property administrator on the team. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities

  • Provide administrative support, including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies if no property administrator is present.
  • Assist with lease administration, including abstracting leases and updating databases.
  • Maintain organized property files, including leases and contracts.
  • Prepare and coordinate bid proposals and service contracts.
  • Obtain aging reports and follow up on delinquencies per policies.
  • Process invoices with proper backup according to procedures.
  • Coordinate tenant move-ins and move-outs, including furniture logistics.
  • Oversee maintenance of work order and purchase order systems.
  • Develop and maintain tenant service packages, including handbooks, anniversaries, gifts, events, newsletters, and training programs. Ensure tenant data is current.
  • Update office procedures in the Operations Manual under manager’s guidance.
  • Ensure Certificates of Insurance are current for tenants and vendors.
  • Review and approve staff hours, expense reports, and check requests.
  • Process tenant bill-backs for utilities and other charges timely.
  • Assist in budget preparation, financial reports, and bank deposits.
  • Lead property inspections with service providers.
  • Oversee performance of service contractors.

Minimum Education

  • High school diploma/GED; Bachelor’s degree preferred

Experience

  • At least 1 year in real estate property management or related field

Work Environment

Professional office setting with regular travel between properties in varying weather conditions.

Physical Demands

Standing, walking, climbing stairs, outdoor travel, and operating office equipment as needed.
