Job Title

Assistant Property Manager (CRE)

Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas outlined in the Sr. Assistant Property Manager job description, and performing property administrator duties if no property administrator is present. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities

  1. Provide administrative support, including phone support, typing, reports, filing, and correspondence distribution. Manage office supplies if no property administrator is available.
  2. Assist in lease administration, including abstracting leases and updating databases.
  3. Maintain organized property files, including leases and contracts.
  4. Prepare and coordinate bid proposals and service contracts.
  5. Obtain aging reports, follow up on delinquencies per policies.
  6. Ensure invoices are processed correctly in accounting systems.
  7. Coordinate tenant move-ins and move-outs, including furniture logistics.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain a Tenant Service Package, including tenant communications and events.
  10. Update office procedures in the property Operations Manual.
  11. Ensure Certificates of Insurance are current for tenants and vendors.
  12. Oversee management and maintenance staff hours, expense reports, and check requests.
  13. Process tenant bill-backs promptly.
  14. Assist in budget preparation and financial reporting.
  15. Lead property inspections with service providers.
  16. Oversee performance of service contractors.

Education

High school diploma/GED required; Bachelor’s degree preferred.

Experience

Minimum 1 year in real estate property management or related field.

Additional Qualifications

Proficiency in Microsoft Office Suite; proactive and deadline-oriented.

Work Environment

Professional office setting with routine use of office equipment. Travel between properties required.

Physical Demands

Ability to stand, walk, ascend stairs, and operate office machinery as needed. Travel outdoors in varying weather conditions may be required.
