Title: Assistant Property Manager.
Salary: $78,000 - $80,000.

Overall Responsibilities:
The Assistant Property Manager (APM) is responsible for assisting in the overall day-to-day operations of the property(ies). The APM must have basic knowledge of tenant relations, work order system, property accounting, fire/safety, cleaning, security and solid general office skills/knowledge.

Duties:
  • Serve as the face of the property management office with basic reception duties, including greeting tenants and visitors, receiving and routing telephone calls, mail and packages.
  • Function as Office Manager, including maintaining the appearance of the office area, ordering office and kitchen supplies, coordinating deliveries, and planning staff events and tenant events. Prepare agenda and update notes for periodic staff meetings.
  • Provide general administrative support to the property management office, including creating memos, correspondence, and lease-related documents.
  • Maintaining access control system, including programming, issuing, purchasing cards and periodic audits.
  • Coordinate tenant work order requests, after-hours access, and pass-down requests, helping ensure a timely response, and follow up with tenants as necessary.
  • Coordinate vendor services, scheduling and periodic walk-throughs, including janitorial, window washing, pest control, signage, suppliers, and others.
  • Code invoices for operational expenses and assist in monthly variance reports. Assist in preparing the annual budget.
  • Assist in preparing contract documents for vendors and miscellaneous agreements for tenants as needed.
  • Track, respond and manage Amenity (conf room, etc.) reservation requests through Building Engines and room preparation with janitorial team.
  • Track, approve and ensure compliance of insurance certificates for vendors and tenants and input into Building Engines or file as appropriate.
  • Maintain accurate and complete records of vendors, tenants, emergency contacts, special projects, tenant lease files, property files and vendor documents. Update and distribute vendor and emergency tenant contact lists as necessary.
  • Coordinate minor tenant and building alterations, including signage, and interface with construction activities at the direction of the Senior Property Manager.
  • Assist in coordinating tenant moves, deliveries, and tenant move-in/out meetings.
  • Coordinate tenant events; assist with preparing and reviewing tenant surveys and resolving action items.
  • Assist with tenant emergency response training. Maintain SDS binders for property offices/shop.
  • Generate monthly tenant bill-backs, including billable work orders, above-standard electrical and after-hours HVAC.
  • Other duties and special assignments as assigned.
Skills/Qualifications:
  • Bachelor’s Degree preferred.
  • Prior experience working within the real estate industry required; commercial property management experience preferred.
  • Must be highly organized with strong attention to detail and possess excellent interpersonal and customer service/tenant relation skills.
  • Basic knowledge of property accounting, including Budgeting, A/P, A/R and CAM.
  • Demonstrate initiative, professionalism, integrity, and exercises confidentiality in all areas of performance. Possess a positive outlook with the ability to stay organized and efficient under pressure.
  • Strong working knowledge of Excel, Word, Outlook. Proficiency with property management software desired.
  • Excellent communications skills. Ability to communicate in a positive and professional manner with senior executives, corporate personnel, tenants, employees, and vendors.
