Job summary

Urban Land Co. is seeking an Assistant Property Manager for a multifamily community. You will assist with day-to-day operations, including leasing, renewals and delinquency processes, and serve as the primary contact for residents.

In this role you will input daily activities, assist with the eviction process, manage applications, and support monthly marketing plans while ensuring excellent resident experiences and property condition.

Qualifications

Responsibilities

  • Lead renewal program responsibilities, delivering renewal letters 90 days before expiration and ensuring renewal leases are completed 30 days prior.
  • Maintain accurate property management software data: moves, notices, renewals, changes, demographics and payments.
  • Assist the Property Manager with the eviction process in accordance with state laws.
  • Manage the application and screening process for prospective residents.
  • Maintain control over rent collections and monitor delinquency goals; apply payments and issue NSF notices.
  • Inspect move-out conditions to document charges before reconciling security deposits.
  • Support leasing activities with the Leasing Consultant.
  • Assist in developing monthly marketing plans and generating reports on traffic and leases.
  • Respond to resident requests and complaints with timely follow-up.
  • Coordinate with management to ensure grounds and property are in excellent condition.
  • Provide staff support in the absence of the Property Manager.
  • Plan and promote resident events with the management team.

As an Assistant Property Manager on the Urban Property Management team, you will be responsible for assisting with managing the day to day operations, including the oversight of the leasing, renewal and delinquency process at an assigned apartment community. As the first and main point of contact for residents, community office team members play a critical role in creating a great leasing and living experience for residents.

What You'll Do
  • Lead all renewal program responsibilities including writing and delivering renewal letters 90 days prior to the lease expirations based on rates approved by the Property Manager and following up to ensure that renewal leases are completed no later than 30 days prior to lease expiration

  • Maintain current and complete property management software information; Input daily activities such as move-ins and move-outs, notices to vacate, resident transfers, lease renewals, lease changes, household and occupant demographics, cancellations, etc.

  • Assist the Property Manager in the eviction process and follow state eviction laws

  • Manage the application and screening process with prospective residents

  • Maintain control over rent collections in accordance with Urban guidelines and procedures. Maintain the property’s targeted delinquency goal of less than 1.0% of Gross Potential Income. Apply payments to resident ledgers; follow-up with telephone calls and/or the collection or demand notices (letters) to ensure prompt payment by residents; creates and delivers NSF notification letters; updates lease information/changes; turn files over to collection agencies etc.

  • Inspect condition of move-outs in a timely manner in order to document charges prior to reconciling security deposits

  • Perform leasing activities in partnership with the Leasing Consultant

  • Assist Property Manager in development of monthly marketing plan, and leasing team with collecting data and generating reports on traffic, new leases, and renewals

  • Manage incoming resident requests and complaints and ensures appropriate response and timely follow-up

  • Collaborate with the Property Manager to manage daily operations of the community and ensures that grounds, maintenance, and property are in superior condition

  • Assist with staff management in addition to, or in the absence, of the property manager

  • Plan organize, promotes, and implements resident functions in conjunction with the management staff

  • Perform other related duties as required and assigned

About You
  • At least two (2) years of residential property management, hospitality, and/or community management experience is required

  • Strong knowledge of fair housing laws and guidelines

  • Maintains confidentiality in all aspects of the job

  • Openness and willingness to learn property management and customer relationship management software program(s); knowledge of and experience working with Entrata, Knock, or Onsite is a plus

  • Flexibility and ability to work in a fast-paced, dynamic environment with changing priorities.

  • A strong sense of urgency and the ability to work well under pressure, emergencies, and time-sensitive situation
