Job Title

Assistant Property Manager

Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as part of the Sr. Assistant Property Manager role, and performing property administrator duties if there is no dedicated property administrator. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities

  1. Provide administrative support including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies in absence of a property administrator.
  2. Assist in lease administration activities, such as abstracting leases and updating databases.
  3. Maintain orderly property files, including leases and contracts.
  4. Prepare and coordinate bid proposals and service contracts.
  5. Obtain aging reports and follow up on delinquencies per policies.
  6. Process invoices with proper backup according to procedures.
  7. Coordinate tenant move-ins and move-outs, including furniture logistics.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain tenant service initiatives, including handbooks, newsletters, and events, ensuring tenant information is current.
  10. Update office procedures in the Operations Manual under management guidance.
  11. Ensure Certificates of Insurance for tenants and vendors are current.
  12. Manage processing of staff hours, expense reports, and check requests.
  13. Ensure timely processing of tenant bill-backs for utilities and services.
  14. Assist with annual budget preparation, financial reports, and bank deposits.
  15. Conduct regular property inspections with service providers and oversee contractor performance.

Education

High school diploma/GED required; Bachelor’s degree preferred.

Experience

Office setting with routine use of standard office equipment; travel between properties required under varying weather conditions.

Physical Demands

Ability to stand, walk, ascend/descend stairs, and operate office machinery; may need to work in outdoor weather conditions.
