AION Management is seeking an Assistant Property Manager to support day-to-day community operations and provide excellent resident service. Under the Property Manager, you’ll handle administrative tasks and step in as acting PM when needed, contributing to a quality living environment.

You will focus on cash-flow excellence, leasing activity, and resident relations, while coordinating with leasing teams and maintenance to meet occupancy goals and ensure compliance with policies.

Qualifications

Responsibilities

  • Maximize cash flow at the property by minimizing delinquencies, ensuring timely rent collection.
  • Monitor banking activities, daily deposits, and contact residents to collect overdue rent.
  • Ensure Entrata data accuracy and timely leasing activities, A/R, A/P, statements, monthly closing, and late fees.
  • Assist PM in meeting revenue goals by occupancy and market incentives.
  • Maintain and organize resident files and payroll reporting including bonuses.
  • Lease apartments by responding to inquiries, qualifying applicants, showing units, and preparing move-in paperwork.
  • Manage renewals and expirations, draft renewal leases, and track expirations.
  • Maintain knowledge of market and Fair Housing/compliance with regulations.
  • Review weekly traffic reports and assist marketing meetings; maintain scores.
  • Plan resident events and perform daily property inspections.
  • Monitor service operations to ensure requests are completed within 24 hours.
  • Provide excellent customer service and professional demeanor.
  • Maintain coverage for emergencies, on-call duties, and weekends.
  • Assist PM in recruiting and evaluating team members, and follow hiring policies.
  • Perform other duties as required.

Job Summary

Under the direction of the Property Manager, the Assistant Property Manager is responsible for ensuring excellent customer service in the daily management of the community, coordinating all aspects of property operations and working in the capacity of the Property Manager in his or her absence. The Assistant Property Manager role has a strong emphasis on managing administrative aspects of the community while working to establish a quality living environment for residents.

Essential Duties And Responsibilities

Financial/Administrative

  • Maximize cash flow at the property by minimizing delinquencies, ensuring timely rent collection,
  • monitoring banking activities, daily deposits, and contacting residents to collect overdue rent.
  • Ensure all Entrata data is correct by monitoring input and report functions, accuracy and timely preparation of leasing activities, A/R cash receipts, A/P Invoices, statements of disposition, monthly closing procedures, and late fees.
  • Assist the Property Manager in meeting targeted revenue goals by exceeding occupancy budgets, creating market incentives, improving resident retention, and monitoring the property's financial performance.
  • Maintain and organize all resident files.
  • Responsible for maintaining accurate payroll reporting including bonus preparation.

Marketing

  • Support the leasing team by leasing apartments, responding to telephone inquiries, qualifying applicants, showing apartments and ensuring all move-in paperwork is accurately prepared.
  • Manage renewals and active leases, tracking expirations, preparing expiration letters and drafting renewal leases.
  • Maintain on-going, in-depth knowledge of associated market.
  • Assist in monitoring compliance with Fair Housing regulations, Tax Compliance regulations, and other laws as they relate to property specific guidelines in occupancy standards.
  • Review and analyze weekly traffic reports and numbers and assist with weekly marketing meetings.
  • Maintain passing e-shop, phone shop, and physical shop scores of 85% or higher.

Customer Service

  • Assist in planning and preparation of resident events.
  • Complete a daily inspection of the property and market-ready units.
  • Assist with the monitoring and directing of service operations to ensure service requests are completed within 24 hours and curb appeal standards are met.
  • Provide excellent customer service and display a courteous and professional attitude toward all customers.
  • Maintain availability or coverage for emergencies, on-call duties, resident functions, and Weekends.

Personnel Development

  • Assist Property Manager in recruiting and selecting team members while understanding and adhering to the hiring policies and procedures.
  • Assist Property Manager in evaluating and supervising team members.
  • Perform other duties as required.
Requirements
  • High school diploma or equivalent, college degree highly preferred
  • One-year property management experience or experience in a related field
  • Proficient computer skills including the Microsoft Office Suite, Entrata experience preferred
  • In Pennsylvania or New Jersey, must obtain a real estate license within 120 days of hire
  • Working knowledge of applicable Landlord Tenant Laws, Fair Housing mandates and other legal issues affecting property management
  • Excellent English communications skills, both verbal and written
  • Must be able to walk apartments and grounds, including steps and climbing stairs
  • Occasionally required to lift 20 pounds or less
  • Valid driver's license
