Responsibilities:

The Assistant Property Manager/Property Administrator is responsible for managing assigned properties and personnel, requiring flexibility, organization, and attention to detail.

This position is based in Orlando at 650 Northlake Blvd., Suite 410, Altamonte Springs. The ideal candidate is organized, personable, motivated, with experience in multi-tenant reporting and hands-on Yardi use. It is an on-site role with some travel within a 30-minute radius.

Likely responsibilities include:

  • Conduct regular property inspections and tenant visits, knowing and interacting with every tenant.
  • Respond promptly and professionally to tenant inquiries, problems, and complaints, within 48 hours.
  • Manage move-in and move-out inspections.
  • Maintain property condition reports for roofs, HVAC, parking lots, etc.
  • Bids and manages capital improvement projects.
  • Coordinate tenant finish construction with tenants and contractors.
  • Oversee contractors and maintenance staff for repairs and services.
  • Prepare rent commencement letters and delivery notices for new tenants.
  • Handle rent collections and accounts payable/invoices.
  • Collaborate with the property accountant to ensure lease details are accurately reflected in Yardi.
  • Perform other special projects and duties as assigned.

Vendor Administration:

  • Maintain files of Certificates of Insurance for tenants and vendors.
  • Prepare new vendor contracts and manage renewals.
  • Vet vendors thoroughly.
  • Maintain a schedule of service contracts per property.
  • Update and maintain a list of preferred vendors in each trade.
