Job summary

Kelso Industries is seeking an Assistant Project Manager to support project coordination and administrative needs on active construction projects nationwide. You will help manage documentation, scheduling, and communications to meet time and cost objectives.

The ideal candidate is detail-oriented, proactive, and capable of working independently in a fast-paced environment, with strong written and verbal communication skills and a willingness to learn within a high-performing team.

Qualifications

  • Excellent reading, writing, and verbal communications.
  • Excellent organization skills.
  • Ability to read plans (preferred).
  • Has a background in construction (preferred).

Responsibilities

  • Secure properly executed subcontract and purchase order agreements, insurance certificates, bonds and other documents as required.
  • Assist with data entry of jobs, customers and vendors into project management and accounting software.
  • Assist the Project Managers in developing monthly job status reports and in preparing and sending pay apps.
  • Assist with aging reports and obtaining information to ensure timely payments.
  • Assist Project Managers with obtaining licenses, permits, and inspection requests.
  • Distribute job information like addresses, permits, and per diem to the appropriate people.
  • Support end-of-year audits by gathering necessary information.
  • Participate in coordination, staffing, scheduling, and meetings as needed.
  • Prepare meeting minutes as directed by Project Managers.
  • Help prepare job start-up and close-out checklists, including manuals and training materials for maintenance contracts.
  • Keep PMs informed of issues on the project.
  • Maintain good relationships with owners, architects, engineers, subcontractors, suppliers, and authorities.
  • Assist PMs and Superintendents with construction planning.

Assistant Project Manager

At United Services, Inc. The assistant project manager will report directly to the Project Managers and play a key role in supporting the administrative and operational needs of active construction projects. This position involves providing day-to-day administrative support, assisting with project coordination, and helping ensure that all documentation, communication, and scheduling are managed efficiently to meet both time and cost objectives.

We are seeking an intelligent, dependable, and detail-oriented professional who is eager to learn and contribute to a high-performing team. The ideal candidate will possess strong written and verbal communication skills, a proactive problem-solving mindset, and the ability to work both collaboratively and independently in a fast-paced construction environment.

  • Assist the Project Managers in the development of the monthly job status report and participate in the preparation and sending out pay apps.
  • Assist the Project Managers with the aging report and obtaining any additional information necessary to ensure payment..
  • Assist Project Managers with business licenses, permits, and inspection requests.
  • Assist with sending job information like addresses, permit information, and per diem to the appropriate people.
  • Assist Project Managers with procuring any information for end of year audits that may be required.
  • Actively participate in coordination, staffing, scheduling, and other meetings as required.
  • Prepare meeting minutes as directed by Project Managers when needed.
  • Assist with preparing job start-up and close-out checklists. This will include owner's manuals, scheduling owners training, preparing owners training books with the intent of selling preventative maintenance contracts with help from the Service Manager, and creating a start-up book with submittals and all the information needed for successful mobilization of new projects.
  • Keep the Project Managers fully informed in a timely fashion with regard to any and all problem areas on the project that you may see.
  • Maintain good relationships with the owner, architect, engineer, subcontractors, suppliers, municipal authorities, and team members.
  • Assist the Project Managers and Superintendents with the overall plan for construction as required.
  • This is a baseline of job responsibilities and is not inclusive of all responsibilities.
