Certerra‑Subsurface Imaging, located in Rancho Cucamonga, CA, is seeking qualified Assistant Project Manager to join our team of great civil engineer services, this opportunity provides a great steppingstone into management roles with great career paths.

The Project Manager Assistant supports the Project Manager in the coordination andexecution of underground utility locating and subsurface investigation projects. Responsibilities includecoordinating public agency permits, 811/DigAlert assignments, field delineation activities, traffic controlrequirements, and scheduling field inspections with city, county, and other public agencyrepresentatives.

The Assistant is also responsible for supporting project documentation and administrativerequirements, including Job Hazard Analyses (JHA), Injury and Illness Prevention Program (IIPP)documentation, Site‑Specific Safety Plans (SSSP), permits, field reports, project schedules, and clientcommunications. The position serves as a key liaison between the Project Manager, field crews, clients,inspectors, engineers, and public agencies to help ensure projects are properly coordinated,documented, and completed safely, accurately, and on schedule.

Key Responsibilities
  • Project Coordination: Assist the Project Manager with the day‑to‑day coordination of underground utility locating, GPR, potholing, vacuum excavation, and related projects.
  • Permits & Public Agencies: Coordinate and track city, county, Caltrans, and other public agency permits,encroachment requirements, and approvals.
  • 811 / DigAlert: Manage and monitor 811/DigAlert tickets, assignments, due dates, and Electronic PositiveResponse (EPR) requirements.
  • Field Delineation: Coordinate field crews for utility marking and delineation activities and ensure crews havethe necessary plans, scope, access information, and site requirements.
  • Traffic Control: Review traffic control requirements and coordinate traffic control plans, vendors, and fieldrequirements as needed.
  • Field Inspections: Schedule and coordinate inspections with city/county representatives, inspectors,engineers, clients, and other project stakeholders.
  • Crew & Schedule Coordination: Assist with scheduling field crews, equipment, subcontractors, andmobilizations to meet project deadlines.
  • Safety Documentation: Prepare, maintain, and distribute required safety documentation, including JHAs,IIPP documentation, Site‑Specific Safety Plans (SSSP), permits, and other project‑specific safetyrequirements.
  • Project Documentation: Maintain complete project files, including scopes of work, plans, permits, utilitymaps, field reports, photographs, locate documentation, pothole logs, inspection records, andcorrespondence.
  • Client Communication: Communicate with clients regarding scheduling, access, project status, fieldrequirements, deliverables, and outstanding information.
  • Field Reporting & Quality Control: Review field reports and deliverables for accuracy, completeness, andcompliance with the project scope before submission to the client.
  • Change Orders: Assist the Project Manager with identifying additional work, documenting changedconditions, preparing change‑order requests, and tracking client approvals.
  • Cost & Billing Support: Assist with tracking labor, equipment, subcontractor costs, project quantities, anddocumentation required for accurate invoicing.
  • Project Tracking: Maintain project schedules and track assignments, inspections, deliverables, outstanding items, and deadlines.
  • Problem Resolution: Identify scheduling, permitting, field, or client issues early and bring them to the Project Manager's attention for resolution.
  • Closeout: Assist with final documentation, as‑builts, utility records, reports, photographs, client deliverables, and project closeout.

The Assistant Project Manager is responsible for making sure the project is ready for the field, the field crew has what they need, public agency requirements are satisfied, documentation is complete, and the Project Manager and client are kept informed.

Education/Qualifications
  • High School Diploma or GED
  • Valid Driver's License
  • Must have a minimum of 3 years progressive management responsibilities and experience, including general computer expertise.
  • Strong organizational skills along with excellent oral and written communication ability.
