Job summary

Talbots in Hingham, MA is seeking an Assistant Project Manager to provide administrative, operational, and project coordination support for Visual Merchandising. You will help maintain the Product Lifecycle Calendar, schedule milestone meetings, and support store opening visual needs, coordinating with Merchants and cross‑functional teams.

The role requires a Bachelor’s degree or equivalent experience, strong Microsoft Office skills, and comfort with Oracle/InDesign.

  • Proficient in advanced Windows-based (Microsoft Office) software with the ability to create spreadsheets, databases, and Word documents.
  • Working knowledge of Oracle systems or quick learning abilities of systems a must.
  • Working knowledge of InDesign a plus.
  • Comfortable with researching new resources.
  • Position requires a willingness/ability to connect the dots to understand tasks/functions and calendars.
  • Excellent written and verbal communication skills and interpersonal skills.
  • Excellent organizational skills with sharp attention to detail.
  • Excellent time management and problem‑solving skills.
  • Ability to think critically.
  • Ability to multi‑task in a fast‑paced environment and ability to work cooperatively with others is essential.

Responsibilities

  • Project Management: Support the end-to-end management of Visual Merchandising projects, ensuring alignment with business objectives, brand guidelines, and operational standards.
  • Database and Information Management: Manage and maintain critical databases used for visual publications/direction – coordinate information provided by Merchants, and ensure accuracy of data transfer from publications to database.
  • Procurement and Vendor Management: Generate and track purchase orders for Visual Merchandising projects, ensuring adherence to budget and compliance with best business practices and purchasing ethics.
  • Oversee tracking and reporting for procurement outside of contract agreements, including vendor selection and justification for alternative sourcing when necessary.
  • Cross-Functional Collaboration: Serve as a point of contact between Visual Merchandising and cross-functional teams, ensuring consistent effective two-way communication and collaboration. Partner with the Portfolio Management team to coordinate the timely delivery and execution of new store projects.
  • Meeting and Event Management: Visual/Executive meetings – including scheduling, logistics, and follow‑up documentation. Work with Executive admis, visual working teams to provide the best times that adhere to the calendar and executive's availability. Schedule all PLC meetings for HWW and Talbots working with the Sr Manager to ensure accuracy, proper attendees.
  • Problem-Solving and Support: Identify and address issues or concerns proactively, ensuring resolutions align with company standards and goals.

About the role

The Assistant Project Manager role provides administrative, operational, and project coordination support to the Sr. Manager, Project Management and the Visual Merchandising team. This role helps maintain the Product Lifecycle Calendar through scheduling milestone meetings, coordinating visual department meetings, managing department distribution lists, storing information, and supporting store opening visual needs.


Key responsibilities

Assisting with the ordering process for props, furniture, and visual materials; writing and processing purchase orders for the department; tracking shipments and receipt of visual materials for store openings; and fielding store visual requests to ensure the manager has the information needed to make timely and accurate decisions.
