The Assistant Project Manager plays a hands-on role in driving projects forward alongside a collaborative Development and Construction team. Working across all phases, from pre-development through lease-up and close-out, you’ll help keep complex projects on track by managing budgets, processing change orders and invoices, and coordinating with accounting and cost teams. This fast-paced role also includes overseeing key documentation, supporting project reporting, and jumping in on day-to-day operations to ensure smooth execution and progress.

Essential Job Functions

  • Provide comprehensive administrative and logistical support to the Development team across all stages of project planning and execution, ensuring clear, consistent, and timely communication with internal stakeholders and external partners.
  • Collaborate with cross-functional departments—including Asset Management, Accounting, Construction, and Property Management—to monitor project budgets and timelines, identify risks, track deviations, and communicate key updates and variances to the Development team and senior leadership.
  • Assist in the preparation and management of project budgets; track and reconcile costs for consultants, contractors, and vendors; and ensure the timely processing of invoices and requisitions in alignment with financial protocols.
  • Utilize project cost accounting software and reporting tools to interface with project accountants, prepare monthly draw requisitions, and support the generation of accurate and up-to-date financial reports for internal and external stakeholders.
  • Process, track, and follow up on all project invoices, ensuring they are submitted, reviewed, and approved in accordance with contract terms and project schedules.
  • Coordinate closely with accounting and cost control teams to maintain alignment across financial systems, ensuring accuracy in cost reporting and financial documentation.
  • Facilitate the end-to-end management of consultant and vendor contracts, including leading the RFP process, negotiating terms, processing change orders, managing contract execution, and administering payments and invoices.
  • Maintain organized and comprehensive project documentation, including design drawings, permitting approvals, legal documents, construction records, and other critical materials throughout the project lifecycle.
  • Support the Development team in preparing high-quality project updates and performance reports for investors, senior management, and other key stakeholders.
  • Develop, implement, and maintain standardized protocols and workflows for document control, invoicing, budget tracking, and other project-related processes to ensure consistency and efficiency.
  • Manage and maintain project tracking tools and documentation systems, including meeting agendas, minutes, action item logs, and follow-up reminders to support accountability and timely decision-making.
  • Provide logistical support for project meetings, site visits, inspections, and scheduling activities, ensuring all necessary materials and information are prepared in advance.
  • Organize and safeguard all relevant project files, including permits, inspection certificates, contractor insurance records, and compliance documentation, ensuring accessibility and version control.
  • Monitor and ensure insurance and legal compliance for all project consultants, contractors, and vendors throughout the duration of the project.
  • Maintain accurate records of project plans, as-built drawings, submittals, and certificates of occupancy to support close-out documentation and future reference.
  • Coordinate Development team calendars, meeting schedules, communications, and workflows to promote effective collaboration, alignment, and progress across multiple projects.
  • Oversee contractor and vendor payment processes, ensuring timely submission of payment applications, appropriate review and approval, and precise financial tracking to avoid delays or discrepancies.
  • Must be present on-site and be able to move throughout the buildings and construction sites to address development-related matters, including exceptional communication skills to meet with construction team, staff, vendors and visitors
  • Ability to travel between the main office and site locations within the portfolio and be able to ascend and descend stairs, including comfortability with exposure to varying environmental climates and circumstances
  • Position may be required to perform duties outside their normal responsibilities as needed

Qualifications

  • Bachelor’s degree in Project Management, Engineering, Architecture, Real Estate, Finance, or a related field is required.
  • A minimum of 3 years of professional experience in real estate development, project coordination or management, project accounting, financial analysis, or construction project management.
  • Proven ability to manage project budgets, with strong knowledge of financial controls and cost tracking.
  • Experience collaborating with cross-functional teams on underwriting and financial analysis for development projects.
  • Skilled in managing complex workflows, driving project progress, and communicating clearly with internal and external stakeholders.
  • Strong written and verbal communication skills; able to present ideas and updates clearly and confidently.
  • Strategic and solution-oriented, with an entrepreneurial mindset and resourceful approach to problem-solving.
  • Highly organized with strong time management skills; able to prioritize and meet deadlines in a fast-paced environment.
  • Self-starter who takes initiative, adapts quickly, and works well both independently and within a team.
  • Proficiency in navigating computers and software, to include Microsoft Office (Excel, Word, PowerPoint and Outlook), as well as accounting software (Sage and GCPay) and BlueBeam
  • Work authorization (required)
