Job Description Assistant Project Manager

Location: Miami, Florida

Reports To: Project Manager / Senior Project Manager

Responsibilities
Project Management and Coordination
  • Assist the Project Manager with the day-to-day management and administration of the project.
  • Coordinate with Superintendents, subcontractors, architects, engineers, consultants, vendors, and other members of the project team.
  • Track project responsibilities, commitments, deadlines, and outstanding issues to ensure timely follow-up and resolution.
  • Participate in owner, architect, subcontractor, and internal project meetings.
  • Prepare meeting agendas, meeting minutes, action-item logs, and follow-up documentation as assigned.
  • Maintain organized and accurate project records within the company’s construction-management systems.
RFIs, Submittals, and Document Control
  • Prepare, process, track, and follow up on Requests for Information (RFIs).
  • Manage subcontractor submittals, shop drawings, product data, samples, and other required project documentation.
  • Review submittals for completeness and compliance with subcontract requirements before forwarding them for design-team review.
  • Maintain current RFI, submittal, drawing, and document-control logs.
  • Ensure project teams and subcontractors are working from current approved drawings and documentation.
  • Assist with distribution and tracking of sketches, ASIs, revised drawings, bulletins, and other design changes.
Subcontractor Management and Buyout Support
  • Assist with subcontractor procurement, scope review, bid leveling, and buyout activities.
  • Help prepare subcontract agreements, purchase orders, exhibits, scopes of work, and other project documentation.
  • Track subcontract execution, insurance, bonds, submittals, shop drawings, schedules, and other contractual requirements.
  • Coordinate with subcontractors to obtain required documentation before mobilization.
  • Assist the Project Manager in identifying scope gaps, coordination issues, and potential change conditions.
Cost Management and Change Orders
  • Assist with project cost tracking, commitments, change orders, allowances, and contingency management.
  • Solicit and review subcontractor pricing for potential change orders.
  • Prepare change-order documentation and supporting backup for Project Manager review.
  • Track potential change events and maintain project change-order logs.
  • Assist with subcontractor pay applications, payment documentation, and verification of completed work.
  • Support monthly project financial reporting and cost-to-complete reviews.
Scheduling and Procurement
  • Coordinate with the Project Manager and Superintendent regarding project schedule requirements and upcoming activities.
  • Track long-lead materials, equipment, approvals, fabrication, and delivery dates.
  • Maintain procurement logs and follow up with subcontractors and vendors on critical material deliveries.
  • Identify potential procurement or coordination issues that could affect project milestones.
  • Assist with short-term planning and subcontractor coordination as required.
Field and Quality Coordination
  • Maintain regular communication with the project field team and spend time in the field to understand project progress and ongoing issues.
  • Assist with documenting field conditions, deficiencies, and coordination conflicts.
  • Support inspections, testing, quality-control documentation, and punch-list activities.
  • Help ensure subcontractors promptly address incomplete or deficient work.
  • Coordinate closely with the Superintendent to ensure office and field activities remain aligned.
Project Closeout
  • Assist with project closeout beginning well before substantial completion.
  • Track warranties, attic stock, training requirements, as-built drawings, O&M manuals, testing documentation, and closeout submittals.
  • Assist with punch-list management and final completion tracking.
  • Coordinate subcontractor closeout documentation and outstanding contractual requirements.
Qualifications
  • Bachelor’s degree in Construction Management, Engineering, Architecture, Building Construction, or a related field is preferred.
  • 2–5 years of commercial construction experience in project engineering, assistant project management, project coordination, or a similar role preferred.
  • Multifamily, high-rise, student housing, hospitality, or other large commercial construction experience is strongly preferred.
  • Strong understanding of construction drawings, specifications, RFIs, submittals, change orders, and subcontract administration.
  • Ability to read and interpret construction drawings and specifications.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Strong follow-through and attention to detail.
  • Ability to identify problems, communicate them clearly, and help drive issues toward resolution.
  • Comfortable working in a fast-paced, deadline-driven project environment.
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and Teams.
  • Experience with construction-management software is required.
  • Experience with Autodesk Build is strongly preferred.
  • Ability to work primarily from the project site in the Miami area.
