Job description

The Assistant Project Manager supports the Operations Management team in the coordination,

execution, and closeout of commercial construction projects. This hands‑on role is approximately

60% field-based and 40% office-based.

Working closely with the Operations Manager, Site Supervisors, subcontractors, consultants, vendors, and internal project team members, the Assistant Project Manager helps keep projects organized, moving forward, and properly documented. The right candidate is proactive, self‑motivated, technically capable, and knows when to act independently and when to elevate an issue to management.

CORE RESPONSIBILITIES
Field Coordination & Project Support
  • Spend approximately 60% of working time in the field, visiting both prospective and active construction projects as directed by Operations Management
  • Observe and document project progress, site conditions, manpower, deliveries, inspections, and outstanding work
  • Assist Management and Site Supervisors with coordination of subcontractors, vendors, consultants, and other project participants
  • Compare field conditions and ongoing work against approved drawings, specifications, schedules, and project requirements
  • Identify potential issues, missing information, conflicts, or delays and communicate them promptly
  • Maintain organized site photos/videos and assist with punch lists, inspections, walkthroughs, and verification of completed work
  • Help ensure field questions and issues are communicated, assigned, and tracked through resolution while developing an understanding of construction sequencing
Project Coordination & Administration
  • Spend approximately 40% of working time in the office supporting project coordination, documentation, reporting, and follow‑up
  • Maintain organized project information, schedules, logs, correspondence, and documentation
  • Track open action items and follow up with responsible parties until completed or escalated
  • Assist with permitting, inspections, testing, submittals, RFIs, change documentation, schedules/lookaheads, and project closeout as directed
  • Coordinate information between field personnel, Operations Management, subcontractors, consultants, vendors, and internal teams
  • Track materials, equipment, approvals, inspections, and deliveries that may affect schedules and help identify potential conflicts early
Communication, Technology & Follow‑Through
  • Maintain regular communication with the Project Teams to provide clear, concise, and accurate project updates
  • Follow up consistently with subcontractors, vendors, consultants, municipalities, and other project participants
  • Document important conversations, decisions, commitments, and changes; escalate unresolved risks or delays promptly
  • Use Microsoft 365 and cloud‑based platforms, including Outlook, Excel, Word, Teams, SharePoint, and related tools
  • Work comfortably with Apple products, including Mac computers, iPhones, and mobile field applications
  • Use AI‑powered tools appropriately and responsibly to improve communication, organization, research, documentation, and project coordination
  • Quickly learn new software and identify practical ways technology can improve project workflow and information management
IDEAL CANDIDATE PROFILE
  • 2–5 years of experience in commercial construction, project coordination, Assistant Project Management, field engineering, or a related role preferred
  • Commercial ground‑up and/or renovation experience preferred
  • Strong understanding of construction sequencing, inspections, building codes (NJ & PA), and OSHA safety rules
  • Ability to read and understand construction drawings, including structural, architectural, mechanical, electrical, plumbing, fire protection, and civil plans
  • Strong organization, time management, attention to detail, problem‑solving skills, and ability to identify issues early
  • Ability to manage multiple job sites at the same time
  • Strong written and verbal communication skills, professional demeanor, and ability to build productive working relationships
  • Good judgment and situational awareness when working with different personalities and challenging situations
  • Highly tech‑savvy with strong Microsoft 365/cloud skills; comfortable with Mac, iPhone, mobile applications, AI tools, and learning new systems
  • Able to work independently while remaining aligned with management and the larger project team
  • Must be able to pass respirator fit testing
  • Bachelor’s degree in Construction Management, Engineering, Architecture, Business, or a related field preferred
  • Valid driver’s license with a clean driving record required
PHYSICAL & WORK ENVIRONMENT REQUIREMENTS
  • Hybrid field/office construction role: approximately 60% field and 40% office, with travel between job sites as required
  • Role includes both field work and office tasks such as meetings, reporting, and coordination
  • Comfortable working on active commercial construction sites in varying weather and site conditions and complying with all safety/PPE requirements
  • Able to walk, stand, climb ladders, bend, navigate active construction environments, and work at heights
  • Able to lift and carry up to 50 pounds
  • Able to work in dusty, noisy, hot, or cold environments while wearing PPE
  • Comfortable transitioning between field activities and professional office, meeting, and client‑facing environments
  • Available to respond to job‑related issues outside normal work hours when needed
  • No phone use, texting, or emailing while driving
  • No drug or alcohol use on job sites or while operating company vehicles
