Job summary

Balfour Beatty US is seeking an Assistant Project Accountant to provide accounting and administrative support to the Project Accountant and project teams across the project lifecycle. You will help maintain records, process invoices, track subcontractor documentation, and assist with financial reporting to ensure timely project administration.

The role covers project accounting, accounts payable, subcontractor administration, and general project/office support on-site in San Diego.

Qualifications

• Associate degree in Accounting, Business, Finance preferred; equivalent experience considered.
• 0-2 years of accounting, administrative, or construction industry experience preferred.
• Basic understanding of accounting principles and office procedures.
• Strong organizational and time management skills.
• Attention to detail and ability to handle confidential information.
• Effective verbal and written communication skills.
• Proficiency with Microsoft Office applications, including Excel, Word, Outlook and Teams.
• Ability to work in a fast-paced environment and support multiple priorities.

Responsibilities

• Enter project-related transactions into the accounting system, including invoices, change orders, budget transfers, and payroll data.
• Review accounting documentation for completeness and forwards items for approval.
• Support the preparation of owner billings and related backup documentation.
• Assist in maintaining accurate project cost records and supporting documentation.
• Generate routine reports for project teams as requested.
• Help reconcile project files and records to ensure data accuracy.
• Process vendor and subcontractor invoices in accordance with company procedures.
• Track invoice approvals and follow up on outstanding documentation.
• Assist with purchase order administration and invoice matching.
• Maintain electronic and paper accounting files.
• Collect and review subcontractor pay application packages for completeness.
• Track receipt of insurance certificates, contracts, and lien waiver documentation.
• Maintain subcontractor and vendor records.
• Assist with updating subcontractor/vendor logs and registers.
• Maintain project filing systems and assist with document management, scanning, filing, and record retention.
• Support payroll collection and submission activities.
• Assist with office administration including mail, supplies, and phone coverage.
• Support EEO, MBE, and other compliance documentation requirements.
• Provide professional customer service to project teams, subcontractors, vendors, and clients.
• Respond to routine inquiries and escalate issues when appropriate.

Working Conditions

The base compensation range for the role of Assistant Project Accountant posted above is $56,000-$68,000 annually. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee's pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, any collective bargaining agreements, and business or organizational needs. No amount of pay is considered to be wages or compensation until such amount is earned, vested, and determinable. The amount and availability of any bonus, incentive, or any other form of compensation that are allocable to a particular employee remains in the Company's sole discretion unless and until paid and may be modified at the Company's sole discretion, consistent with the law and any applicable plan documents.
