Job summary

ServiceSource Inc. seeks an assistant to the Program Manager to cover duties in their absence and to support staff in day-to-day operations. The role emphasizes regulatory compliance with Medicaid, licensing, and CARF, plus preparation of reports and meeting documentation.

You will engage with families, guardians, and coordinators, promoting a safe environment and accurate record-keeping while supporting staff in activities and care routines.

Qualifications

  • High school diploma or GED (required); Bachelor’s degree or college coursework in human services preferred.
  • Minimum of 3 years experience working with individuals with developmental disabilities (required); supervisory experience preferred.
  • Must pass Virginia DBHDS fingerprinting and criminal background check.
  • Must pass Orientation to Developmental Disabilities (ODD) assessment and competency tests.
  • Current and valid driver’s license if required to drive for the company; good motor vehicle record and completion of online driving training within 15 days of hire (if applicable).
  • Physical ability to provide personal care (feeding, toileting, transferring).
  • Proficiency in Microsoft Office and ability to use Microsoft Teams or Zoom.
  • Strong verbal and written communication skills.
  • Detail‑oriented and self‑directed, able to work independently or as part of a team.
  • Knowledge of behavior intervention principles and community resources.

Responsibilities

  • Assist the Program Manager in supporting individuals and staff, including active engagement and care.
  • Ensure compliance with Medicaid, licensing, CARF, and other regulatory bodies.
  • Complete and review evaluation/assessment reports, ISPs, progress reports, daily notes, incident reports, and other documentation within required timeframes.
  • Promote a safe, clean, orderly environment and report unsafe conditions.
  • Demonstrate behavior intervention techniques following protocols.
  • Notify the Program Manager of medical concerns, APS allegations, injuries, and significant events.
  • Establish communication with family, authorized representatives, guardians, residential providers, and support coordinators regarding participant progress, schedules, community activities, incidents.
  • Model active engagement with staff during daily group and individual activities.
  • Maintain accurate participant records and documentation, review for completeness and timeliness.
  • Attend staff training on documentation and related procedures.
  • Encourage staff compliance with organizational policies and regulatory requirements.
  • Complete Orientation to Developmental Disabilities (ODD) test and competency assessments.
  • Participate in department meetings, participant meetings, and staff committee meetings.
  • Perform quality assurance of data and quarterly reports, ensuring accuracy and compliance.
  • Train and support staff on accurate documentation practices.
  • Perform other responsibilities as assigned.

Physical Demands

Employee must regularly stand, reach, talk or hear. Occasional walking, sitting, and lifting up to 30 pounds. Close, distance, and depth vision required. Moderate to loud noise level in work environment; occasional exposure to outside weather conditions.
