Job Summary

The Assistant Practice Manager oversees and facilitates the daily operations of a primary care practice, ensuring excellent customer service to patients, families, and visitors. Responsibilities include planning and organizing support staff work, coordinating workflows, implementing systems and procedures, and serving as a resource for clinicians and staff.

Essential Responsibilities
  • Supervises clinical and administrative support staff, emphasizing sensitivity to patients and service standards.
  • Plans, organizes, and oversees staff schedules, coverage, and assignments to meet operational needs.
  • Participates in hiring, performance reviews, and addresses staff performance issues.
  • Coordinates coverage for absences, breaks, and training.
  • Implements processes for efficient work processing, including scheduling, referral management, and visit documentation.
  • Develops office orientation procedures in collaboration with Practice Managers.
  • Supervises physician billing and acts as a resource for charge entry.
  • Answers telephones and manages urgent messages.
  • Prepares weekly revenue cycle reports.
  • Has authority to direct daily staff activities.
  • Assists in budget planning and monitoring.
Qualifications
  • High School diploma or GED required; Associate degree preferred.
  • 3-5 years of related experience and 1-3 years of supervisory/management experience.
  • Proficient in Microsoft Office applications and web-based tools.

Physical Requirements

Light work: exerting up to 20 pounds of force frequently, with periods of standing and moving throughout the hospital campus.
