Job summary

CT Mechanical is seeking an Assistant Plumbing Project Manager to support our commercial plumbing project team. This role focuses on executing essential administrative tasks to keep projects organized, compliant, and on track.

It is an execution-focused position ideal for someone who is organized, process-driven, detail-oriented, and reliable. Responsibilities include collecting NOC and NTOs, assisting with permitting, managing COIs, tracking POs, and maintaining well-organized project folders.

Qualifications

  • The candidate should have a high school diploma or equivalent; college coursework is a plus.
  • 1–2 years of administrative support experience preferred in construction or plumbing.
  • Proficiency with Microsoft Office and strong organizational skills are required.

Responsibilities

  • Collect NOC from clients and keep internal logs up to date.
  • Prepare, file, and track NTOs for each plumbing project.
  • Assist with permitting submissions, inspections, and COI management.
  • Maintain PO logs and monitor outstanding orders.
  • Organize digital job folders with contracts, permits, COIs, logs, and submittals.
  • Draft templated follow-up emails to vendors and project partners.
  • Provide administrative support to PMs and APMS, including notes and calendars.
  • Answer front desk calls and serve as office point of contact for projects.

Job Summary

CT Mechanical is seeking an Assistant Plumbing Project Manager to support our commercial plumbing project team. This role is responsible for executing the essential, recurring administrative tasks that keep our plumbing projects organized, compliant, and on track. This is not a project leadership role — rather, it’s an execution-focused position ideal for someone organized, process-oriented, detail-driven, and reliable.

Key Responsibilities
  • Notice of Commencement (NOC) Collection: Coordinate and collect NOCs from clients and ensure internal logs are accurate and up to date.
  • Notice to Owner (NTO) Filing: Prepare, file, and track all NTOs and confirm proper documentation is maintained for each plumbing project.
  • Permitting Support: Assist with the submission, tracking, and document retention of plumbing permit applications, inspections, and approvals.
  • Certificate of Insurance (COI) Management: Request, collect, and file job-specific COIs from subcontractors and vendors; verify expiration dates and compliance requirements.
  • Purchase Order (PO) Tracking: Maintain internal PO logs, confirm issuance, and monitor outstanding orders for completion or delivery follow-up.
  • Document Filing & Job Folder Organization: Maintain organized digital job folders containing signed contracts, permits, logs, submittals, COIs, NTO/NOC documents, purchase orders, and other project documentation.
  • Routine Communication: Draft and send templated follow-up emails to vendors, general contractors, municipalities, suppliers, and project partners as directed.
  • Administrative Support for APMs/PMs: Assist Project Managers and Assistant Project Managers with calendar invites, meeting notes, document preparation, tracking logs, and other administrative tasks.
  • Front Office & Phone Support: Serve as a professional point of contact for inbound phone calls and office inquiries related to commercial plumbing projects.
Qualifications
  • Education: High school diploma or equivalent required; college coursework or an associate degree in construction administration, office management, business, or a related field is a plus.
  • Experience: 1–2 years of administrative support experience preferred. Construction, plumbing, mechanical, or subcontractor experience is a plus but not required.
  • Skills:
    • Proficient in Microsoft Office, especially Excel and Outlook
    • Familiarity with construction documentation and permitting processes preferred
    • Strong organizational skills and attention to detail
    • Excellent written and verbal communication skills
    • Ability to manage multiple priorities and meet deadlines
    • Strong follow-through and accountability
    • Willingness to learn plumbing and commercial construction processes
