Physical Management Duties:
- Oversee daily property operations to ensure it remains in pristine condition.
- Conduct property inspections, including spot checks of Building Engineer’s life safety and vacant space inspections.
- Perform daily site visits from Monday to Friday to check cleanliness, landscaping, trash, glass, etc.
- Conduct monthly janitorial inspections and walk-throughs with the janitorial supervisor.
- Perform monthly detailed building inspections of the entire property.
- Carry out weekly lighting inspections in common areas, storefronts, signage, and parking lots, with assistance from engineers and security.
- Review tenant storefronts and report any non-compliance issues to the Property Manager.
- Follow up with Building Engineers to prioritize and resolve issues.
- Identify trends in Work Orders and escalate issues to the Property Manager.
- Oversee third-party vendors to ensure quality service.
- Assist the property manager in monitoring maintenance and operational expenses for cost efficiency.
- Support Building Engineers in coordinating vendors for minor repairs such as plumbing and roofing.
- Conduct move-out walk-throughs with tenants and prepare necessary move-out documentation.
Administrative Duties:
- Order signage for tenants (retail and office).
- Prepare estoppels, standard agreements, and service contracts.
- Respond promptly to tenant calls and requests.
- File incident reports for accidents or incidents at the property.
- Update building policies and procedures as needed.
- Collect tenant insurance certificates and HVAC policies where applicable.
- Maintain the Billable Repair Schedule.
- Prepare and update the tenants' handbook.
- Manage FOBs and parking stickers, including coding, delivering, and conducting annual audits.
- Assist in ensuring tenant compliance with lease terms regarding property use, maintenance, and insurance.
- Develop positive relationships with tenants through meetings and visits.
- Respond professionally to tenant concerns and requests.
- Monitor tenant improvements, conduct walk-throughs upon completion, and address feedback.
- Notify tenants of upcoming work or inspections.
- Support retailer initiatives to promote business visibility and community engagement.
Marketing/Event Coordination:
- Collaborate with external consultants on marketing and events.
- Organize monthly tenant events and coordinate special projects and events.
