Job summary

Mills Properties, Inc. is seeking a detail-oriented assistant manager to support the property manager in successful operation of our communities. You will manage ledgers, ensure accurate records, and create exceptional resident experiences through proactive service.

You will help with leasing processes, move-ins, and daily/weekly reporting while maintaining relationships with residents, ensuring compliance, and upholding Mills values in a collaborative team environment.

Qualifications

  • Two years’ experience in multi-family property management.
  • Leadership and coaching skills with ability to mentor and develop others.
  • Strong communication, negotiation, interpersonal, and written/verbal skills.
  • Valid driver’s license.
  • CAM, RAM, CLP or NALP certification preferred but not required.
  • Strong attention to detail and problem-solving abilities.

Responsibilities

  • Support property manager with overseeing all aspects of property’s operations; serve as property leader in the absence of the property manager.
  • Ensure all security deposits and monthly rents are collected in a timely manner.
  • Maintain resident ledgers including posting security deposits, rent payments and issuing charges, concessions and final account statements.
  • Initiate lease violations, late rent notices and evictions as needed and pursue collection of outstanding rent balances.
  • Assist in the leasing process: greet guests, identify housing needs, tour the property, show apartments, explain lease criteria, determine eligibility, follow-up with prospects, close the sale, complete lease documents and inspect units for move-in experience.
  • Assist property manager with daily/weekly reports, resident communications, move-out inventory, etc.
  • Assist with planning, preparation, and execution of resident functions.
  • Support maintenance team by inspecting grounds for curb appeal, property safety and appearance, and help maintain cleanliness.
  • Maintain positive communications with residents and provide excellent service through courteous and timely response to resident needs.
  • Maintain knowledge of the property, other Mills properties, and local market & competitors.
  • Perform duties of leasing manager and leasing consultant when needed.
  • Abide by Mills policies and laws pertaining to Fair Housing, ADA, etc.

About the role

We are looking for a detail and task-oriented assistant manager who is responsible for supporting the property manager with the successful operation of the property. With your attention to detail, you will manage the property ledgers keeping accurate and up-to-date records. Through your exemplary service experience, you help establish first impressions with potential residents and build lasting relationships with current residents to anticipate their needs and exceed their expectations thereby creating e xceptional experiences.

How you will be successful

  • Assist property manager with daily and weekly reports, resident communications, move-out inventory, etc.
  • Assist with planning, preparation, and execution of resident functions
  • Support the maintenance team by inspecting grounds for curb appeal, property safety & appearance, and help maintain property cleanliness by picking up litter, and communicating service needs
  • Maintain positive communications with residents and provide excellent service through courteous and timely response to resident needs and concerns
  • Maintain accurate and in-depth knowledge of the property, other Mills properties, and the local market & competitors
  • Perform the duties of leasing manager and leasing consultant when needed (see applicable job descriptions)
  • Abide by Mills policies and procedures and laws pertaining to Fair Housing, Americans with Disabilities Act, etc.

What you need
  • High school diploma or GED; college degree preferred
  • Two years’ experience in the multi-family property management

  • Compelling communicator with strong negotiating, interpersonal, written and verbal communication skills
