Overview
This assistant role provides administrative, technical and organizational support to the Human Resources Department.
Essential Duties and Responsibilities
Typical responsibilities include, but are not limited to, the following:
- Provide general administrative, technical and organizational support to the Human Resources Department which includes the Chief, Directors and Managers.
- Process and track employment verification requests.
- Monitor the ticketing queue and ensure timely handling of requests. Escalate or assign requests to the appropriate teams/individual(s) based on guidelines.
- Answer HR hotline calls in a professional manner; take accurate and complete messages; direct inquiries or follow up, as necessary.
- Greet and direct guests who visit the HR suite.
- Review department correspondence and distribute according to guidelines.
- Update and maintain content of HR Support wiki.
- Coordinate gift card ordering, processing and tracking.
- Assist with temporary housing logistics in connection with lawyer relocations.
- Assist with updating and maintaining the HR intranet pages.
- Prepare expense reports and process invoices, as necessary.
- Run reports and schedule meetings.
- Conduct periodic audits.
- Create, format, draft and edit documents, and copy and scan documents, as needed.
- Conduct research and analyze data, as requested, and prepare charts, graphs, and other visuals.
- Handle HR filing, manage and inventory personnel files.
- Ensure all office equipment in the HR suite is operational and report issues/problems, as necessary.
- Order office supplies for the department, as requested, and keep common areas appropriately stocked and tidy.
- Perform other duties and responsibilities as requested for successful operation of the department.
- Assist with basic Workday tasks.
- Assist with ad hoc and seasonal projects.
Qualifications / Position Requirements
- Ability to manage a varied workload, prioritize tasks and projects, and meet deadlines.
- Must be professional, punctual, reliable, organized and detail oriented.
- Proficient in MS Suite applications and other applications, as needed.
- Must have exceptional telephone etiquette and customer service skills.
- Excellent written and verbal communication skills, and excellent interpersonal skills.
- Must ensure confidentiality of all employee documentation, data and information.
- Must have a growth mindset: interested in deepening job knowledge and developing professional skillset.
- Must be flexible in daily schedule to accommodate unexpected situations or needs.
- Must be able to work collaboratively with all employees, and demonstrate a strong work ethic, teamwork and a positive attitude.
- Must actively pursue improvements to workflow, procedures and the department.
- Ability to operate office equipment.
Education and/or Experience
- Bachelor's Degree and/or minimum of 3 years' experience preferred.
- Experience with Workday preferred.
Compensation
The expected base salary for this position ranges from $65,000 - $70,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, anticipated assignment, and, where applicable, licensure or certifications obtained.
