About the Role

This is a highly professional and proactive customer-facing role, responsible for ensuring the delivery of exemplary facilities management services to the Client, while ensuring compliance and operational efficiency. You will serve as the main contact for colleagues and vendors for all local facilities and workplace management issues. You will play a vital part in managing and developing the relationship with end-to-end service users and key stakeholders to support the operational success of our company.

Maintain customer satisfaction at the highest level by providing a high-quality and proactive service, ensuring all concerns are dealt with effectively and communicated accordingly. Contribute to the growth and success of Macro by assisting the management team with business development and operational activities.

Your responsibilities will include:

  • Service Delivery: Instil an ethos of continuous improvement, keeping service delivery fresh and appropriate by quickly reacting to changes to business requirements.
  • Client Centricity: Work as a team to ensure the highest standards of service and technical support are delivered. Ensure customer concerns are effectively dealt with.
  • Service Excellence: Liaise with facilities service providers, including hospitality, maintenance, cleaning and vending, to ensure the overall service is quality, timely, and seamless.
  • Project Management: Oversee the delivery of minor works and small project initiatives such as moves and churn, ensuring they are executed efficiently and to the highest standards.
  • Supplier Management: Work with the Regional Facilities Manager and Supply Chain Business partner to manage supplier contracts, ensuring quality services, value for money and innovative service is provided. Undertake Macro contractual, compliance, and technical audits of supplier services.
  • Reporting and Compliance: Responsible for service and contract compliance, ensuring all services meet Client requirements and standards. Complete inputs for monthly reports, quality audits of hard and soft services, and compliance requests. Prepare, manage, and review business continuity plans and actively participate in Client’s BCP and disaster recovery plans.
  • Budget Management: Work with the Facilities Manager to manage and control the budget, achieve financial targets, and adhere to financial processes. Produce timely and accurate reports.
  • Procurement and Invoicing: Raise purchase orders and process on Macro’s finance system PROACTIS.
  • Support Services: Provide cover to main reception, helpdesk, post room or other site services as required. Pick up and deliver mail, and coordinate the shipping and receiving of boxes and letters to and from the office.
  • Space Planning: Manage space planning for the office and coordinate the setup for new employees.
  • Health, Safety and Quality: Lead workplace health, safety, and environment initiatives for the local office. Involved in weekly site audits and monthly Health & Safety inspections, handling escalations.
  • Onboarding: Coordinate setups for all new employees and assist with orientation.

  • Relevant qualifications or sufficient relevant experience and knowledge of FM operations.
  • Strong interpersonal skills to effectively communicate with stakeholders.

  • Experience in facilities management or similar related customer-facing role.
  • Organisational skills enabling exceptional time management to manage conflicting priorities.
  • Proactive and willing to seek out opportunities for improvement.
  • Confidence in using different systems and platforms.
  • Adaptable and flexible approach to respond in a dynamic environment.
  • Resilience in managing unexpected challenges while maintaining service excellence.
  • Attention to detail with a meticulous approach to service, compliance, reporting, and project management.
  • First aid training.
  • Fire safety training.

Salary is $60,000 annually.
