The Assistant Director reports to and supports the Associate Director, Gift Acceptance, Finance & Analysis. Primary responsibilities include, but are not limited to, assessing and managing all processes involving gift and donor data collection, working with gift processors to address and correct any gift processing issues. This position will be responsible for supervision of four full-time staff positions (Electronic Gift Processing Specialists).
Responsibilities include:
The Assistant Director exercises considerable independent judgment in reviewing and approving transmittals, assigning staff workload, prioritizing daily processing, resolving processing exceptions, identifying gift batch and mail discrepancies, recommending process improvements, and escalating complex issues. They make independent operational decisions affecting gift processing timelines, workflow management, and service delivery. They regularly resolve complex operational issues involving gift documentation, donor intent, banking transactions, pledge administration, stock gifts, and wire transfers. They analyze multiple sources of information to determine appropriate resolution while ensuring compliance with university policies and accounting standards.

Full-Time Equivalent Hiring Range: $74,450 to $93,050; salary commensurate with relevant experience.
This position requires a Bachelor’s degree, with a Master’s degree preferred. Background experience requires a minimum of 3-5 years fundraising operations and financial capabilities, preferably at an institution of higher education focused or engaged in a capital campaign.
The Assistant Director is expected to demonstrate independent judgment, problem-solving, and prioritization. Common issues include resolving gift processing discrepancies, incomplete or conflicting documentation, reconciliation variances, system issues, and time-sensitive requests from internal partners. The position evaluates available information, applies University policies and procedures, collaborates with appropriate stakeholders, and determines the best course of action. The Assistant Director exercises operational responsibility over the accuracy and timeliness of millions of dollars in annual philanthropic revenue processed through the University's advancement systems. The role also addresses staffing and workflow challenges by prioritizing workloads, reallocating resources, coaching staff, and identifying process improvements to maintain accuracy, efficiency, and strong internal controls.
Calendar year-end and Christmas holiday work week is part of this position. Occasional after-hours work may be needed to assist financial processing or to meet deadlines. This position requires a strong working knowledge of Microsoft Word, Excel, PowerPoint Access, Google email/calendar/documents, learn other reporting tools as needed. Preference for experience with a CRM such as Blackbaud.
