About the Department

Alumni Relations and Development (ARD) engages alumni (~220k), current students, parents, and friends of the University through intellectual, professional and social activities on campus, around the world and online. ARD raises more than $600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.

The College Development team raises $80M-$100M annually, advancing philanthropic partnerships with key alumni, parents and friends of the College to support the educational goals of its undergraduates. This includes support for financial aid, teaching and research, career development, international study, athletics, and housing.


Job Summary

This role provides professional support of assigned development activities with instruction from others. Executes fundraising projects, cultivation programs for prospective donors and for visiting committees.

Responsibilities

  • Maintains constituent records and actively supports the creation and management of data, including the preparation of custom and ad hoc reports, spreadsheets, graphs, charts and presentations.
  • Prepares special reports and summaries and compiles data, statistics, and other information as needed using various sources.
  • Supports the prospect activities of the College Alumni Philanthropy team.
  • Crafts prospect, visit, and event briefs for University leadership as needed.
  • Updates Salesforce CRM system with accurate notes from team leaders and the Executive Director.
  • Tracks and reports on annual progress qualifying and advancing the College Alumni prospect pool.
  • Functions as the Salesforce CRM power user for the College Alumni Philanthropy team, including running monthly standard reports as well as highly specialized reports, updating prospect notes, and offering additional assistance when needed.
  • Monitors the solicitation pipeline weekly for the leadership annual giving and major gifts teams and works with the Executive Director to determine ways his/her work can aid in the closing of gifts.
  • Works closely with the Executive Director to continually design, update, and prepare staff-training plans to keep major gift officers across ARD and on the College Development team updated on the latest College fundraising priorities and programs. Examples may include guest speakers, preparing toolkits, or distribution of printed materials for staff to use in major gift fundraising.
  • Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions and with an eye towards broadly diversifying the advancement profession.
  • Has a moderate/solid understanding of fundraising operations for a school or department of the University. Identifies budget requirements and staffing needs on a project or event basis.
  • Has a moderate/high level of authority in drafting informational and marketing materials for review for assigned programs. Assists in developing support materials for specific fundraising activities.
  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:

  • Bachelor’s or advanced degree.

Experience:

  • Professional working experience in nonprofit management, development, alumni relations, marketing, public relations, sales or similar fields.
  • Event, meeting, conference planning or similar work experience.
  • Project management experience.

Technical Skills or Knowledge:

  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including the University's donor relationship management system.
  • Demonstrated skill and knowledge of, or ability to quickly learn Salesforce CRM, Marketo email marketing software and Cvent event management software.
  • Demonstrated skill and knowledge of, or ability to quickly learn Microsoft Windows computer environment, including Microsoft Outlook, Word, Excel, PowerPoint.
  • Manage and interpret data in Excel.

  • This position is located in Hyde Park at 5235 South Harper Court.
