The Assistant Director is responsible for managing a range of academic, administrative, human resources, and financial matters that support the student experience and ensure compliance with institutional policies and procedures. The Assistant Director serves as a primary liaison to administrative offices, faculty, students, alumni, and the general public.
Work closely with the Program Director and senior administrative leadership to manage the daily administrative and human resources functions of the program, including assisting with personnel matters and addressing faculty concerns.
Assist with the processing of documentation and administration of faculty and student appointments; explain employee benefits and institutional policies.
Ensure compliance with student, temporary, and support staff human resources policies, including staff oversight and timesheet submissions.
Train and manage the workload of support staff and student workers.
Assist senior management with curricular planning, curriculum proposals, faculty teaching schedules, class times, and room assignments.
Prepare program materials for distribution, including program outlines and faculty curriculum materials. Work closely with the Program Director and faculty to oversee material production and meet scheduled deadlines.
Manage student course-related travel.
Assist faculty with the processing of travel and business reimbursements.
Assist the Program Director with the collection of information and processing of honoraria.
Assist with preparation of materials required for professional accreditation, annual reports, and periodic accreditation reviews.
Assist the Program Director with grant writing and fundraising efforts.
Under the direction of senior administrative leadership, monitor program finances, prevent budget overdrafts, recommend spending levels, and work with the Finance Office to resolve financial issues.
Maintain financial reporting and control systems, monitor program expenses, and ensure compliance with institutional financial policies and procedures.
Monitor fellowship and assistantship budgets.
Serve as a primary point of contact for faculty and act as a liaison between faculty and the Finance Office.
Advise students on course selection to satisfy appropriate degree requirements and assist with registration procedures.
Coordinate with student councils and program student organizations to support student initiatives.
Assist with career services events, workshops, and recruitment events with prospective employers.
Help maintain relationships with prospective employers and alumni to encourage employment opportunities for students.
Develop and manage communications that may include newsletters, weekly email communications, and job postings to promote full-time and part-time employment opportunities and career-related information.
Collect and analyze placement statistics and generate reports to inform future programming and initiatives.
Oversee aspects of admissions and fellowship/assistantship awards, including communication with prospective students.
Work with communications and outreach teams to ensure consistent messaging and effective recruitment efforts.
Assist with graduation-related matters and logistics.
Coordinate orientation, lectures, and other program events.
Manage all aspects of program-related event planning, including coordination with program leadership, events teams, technology staff, and participants.
