Responsibilities

  • Oversee accounting operations: general ledger, accounts payable/receivable, payroll, and month-end close processes.
  • Ensure financial statements are accurate, timely, and GAAP-compliant, with donor/grant requirements.
  • Assist with audits, budgeting, and reports for leadership and the Board of Directors.
  • Maintain internal controls and develop financial policies and process improvements.
  • Assist with regulatory reports including IRS Form 990 and census reporting.
  • Monitor restricted funds and donor-restricted net asset schedules.

SUMMARY: The Assistant Controller supports all core accounting functions for a nonprofit, ensuringaccuratefinancial reporting, compliance with GAAP and funding requirements, and strong internal controls. They alsoassistwith audits, budgeting, staff oversight, and researchappropriate accountingtreatment for complex or unusual transactions.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Reasonableaccommodationsmay be made to enable individuals with disabilities to perform the essential functions.

Support the Controller in overseeing all accounting operations, including general ledger, accounts payable/receivable, payroll, and month-end/year-end close processes.

Ensure financial statements areaccurate,timely, and compliant with GAAP, nonprofit accounting standards, donor/grant requirements, andapplicablefederal, state, and local regulations.

Research and documentappropriate accountingtreatment for new, unusual, or complex transactions to ensure compliance with GAAP and nonprofit reporting standards.

Assistin preparing and analyzing monthly, quarterly, and annual financial reports for departments, leadership, the Board of Directors, and external stakeholders.

Produce budget and actual revenue and expense statements as needed to support program operations and grant or award submissions.

Maintain andmonitorinternal controls to safeguard organizational assets and ensure compliance with agency policies and regulations.

Assistin developing and implementing financial policies, procedures, best practices, and process improvements, including financial software enhancements.

Support periodic monitoring activities and the annual audit process by preparing schedules, documentation, and coordinating with external auditors.

Assistwith the preparation and review of regulatory reports, including IRS Form 990, census reporting, and providing data to external tax partners to ensuretimelyfiling.

Monitor restricted and unrestricted funds to ensure proper tracking, allocation, reporting, and compliance with donor and grant requirements. Maintain the quarterly donor-restricted net asset schedule and collaborate with program staff to review restricted balances.

Participate in the annual budgeting and quarterly forecasting process by preparing budget templates, coordinating program data, analyzing variances, andprovidingfinancial insights.

Assistwith cash flow management, including forecasting andmaintainingadequate liquidity.

Mentor and provide guidance to accounting staff, serve as backup support, and review accounting entries for accuracy, completeness, timeliness, and compliance with established policies and procedures.

Perform monthly general ledger functions, including journal entries, account reconciliations, expense allocations, fixed asset and lease accounting, depreciation and amortization, in-kind entries, maintenance of account code combinations, and other accounting activities as needed.

Assistwith banking activities, including reconciliation of bank accounts and related financial transactions.

Perform special accounting projects and other duties as assigned.

Utilizesintermediate knowledge of Microsoft Office applications with strong Excel skills

Representsthe Agency in the community and workplace in a professional and ethical manner.

Demonstrates sensitivity to the service population’s cultural and socioeconomic characteristics.

Demonstrates strong interpersonal, decision-making, problem-solving, oral, and written skills.

Qualifications

EDUCATION and/or EXPERIENCE:Bachelor’s Degree in accountingrequiredwith five years of experienceincluding one year of supervisory experience. CPA Certification a plus. Nonprofit experience preferred.
