JOB SUMMARY:

This is a support position responsible for keeping the records of financial transactions for their assigned community. They summarize details in written reports or computer files. Reconcile and balance monthly reports. At times may compile reports to show statistics, such as cash receipts and expenditures, accounts payable and receivable, profit and loss, and other items pertinent to the operation of the business. The Assistant Community Manager must be able to work specific days for bookkeeping and collection purposes.

ESSENTIAL JOB FUNCTIONS:
  • Posting all funds collected and making daily deposits. To correctly prepare and deliver Legal Notices on the appropriate date allowed by the lease contract (usually the 4th) every month. To keep an accurate and current delinquency report that will be submitted to the Community Manager, Regional Supervisor. To pursue all legal means of collecting delinquent rent.
  • To correctly process any NSF checks, including posting the entry, and notifying the resident.
  • To properly complete Move-Out procedures by walking the vacated apartment home, fairly and accurately assessing, and charging for existing damage or cleaning, processing the move-out in the computer via the Final Statement of Accounts.
  • To close the books monthly on the assigned date and time. To review and reconcile the monthly reports.
  • To assist all leasing associates with all leasing efforts. Performance is up to standard when there is a closing ratio of 50% or better on qualified prospects. To assist leasing associates in the coordination of move-in dates with apartment readiness. To assist with generating traffic through marketing calls. Performance is up to standard when the associate completes at least five (5) marketing calls per week. To assist with the planning and implementation of the monthly or quarterly marketing activity plan. To fully comprehend and be able to explain every paragraph of the lease contract.
  • To obtain renewals on expiring leases within the specific time period.
  • To assist the Community Manager with all resident activities and communication.
  • To report to work on time with a neat and professional appearance. To be courteous and pleasant to residents and associates at all times.
  • To thoroughly understand and be able to complete all daily, weekly, and monthly reports. To understand the Community Manager’s role and reporting requirements enough to assume responsibility for same during the Community Manager’s absence.
  • To thoroughly understand and abide by all Fair Housing Laws.
  • Other duties as assigned.
SKILLS AND ABILITIES:
  • Apply principle of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to master the use of computer and associated software packages.
  • 3+ years of Multifamily Property Management experience.
  • Entrata experience is highly preferred.
  • Bilingual in English and Spanish is highly preferred.
PHYSICAL DEMANDS:
  • Ability to frequently, and sometimes for long periods of time, sit, stand, climb and descend stairs, walk, extend arms and hands forward and overhead, using fingers to grasp, and carry.
  • Must be able to bend, crouch, kneel, or stoop on occasion.
  • Must be able to lift and carry up to 15 pounds.
  • Must have up-close and distance vision.
BENEFITS:

Associates who are regularly scheduled for and work 30 hours or more per week are eligible for company-sponsored benefits the 1st day of the month, following completion of 30 continuous days of employment. Benefits offered include medical, dental and vision coverage, as well as 401K and life insurance. Regular, full-time associates are eligible to accrue paid time off (PTO) and holiday pay.
