Property Summary

Located at 2317 Huntington Avenue, The Arden is a 126-unit affordable mixed-use multifamily affordable housing community less than one block from the Huntington Metro in Alexandria (Fairfax County).

The 210,331 sq. ft. new construction includes five stories of residential apartments including 10 efficiencies, 26 one=bedrooms, 76 two-bedrooms, 14 three-bedrooms and 11 fully accessible units, al situated over a two-story podium that includes underground parking with 181 spaces, office space, residential lobby and amenity space.

Job Summary

The Assistant Community Manager provides administrative and managerial support to the residential community. The Assistant Community Manager also supervises staff (a Maintenance Supervisor and Maintenance Tech) The ideal candidate is an organized, efficient, and solution-oriented professional who can easily switch between administrative tasks, all while juggling incoming calls, appointments, and visits from residents and prospective residents.

Essential Functions

• Prepare apartment leases and lease renewal documents

• Conduct resident and prospective resident interviews

• Assist with developing maintenance work schedules

• Conduct site inspections of grounds, common areas and apartments

• Assist Relocation Coordinator, residents, and other staff with relocation of residents during property renovation

• Initiate background checks and application verifications for potential residents

• Perform move in/move out inspections

• Investigate and resolve resident complaints

• Maintain rent rolls, reconcile resident accounts and prepare vacancy reports

• Assist with apartment turnover procedures

• Assist with rent collection and collecting delinquent rents

• Prepare daily bank deposits

• Assist with preparation and delivery of all correspondence to residents (rent changes, terminations)

• Maintain positive and professional relationships with residents

• Ensure consistent application of property policies

• Assist with inventory of all equipment and supplies and issuing purchase orders

• Assist with maintaining vendor files

• Assist in submitting completed purchase orders and invoices for payment

• Assist with maintaining and updating waiting lists

• Prepare verification forms, Section 8 vouchers and adjustments, payment authorization forms

• Submit subsidy billings to appropriate agencies

• Assist with preparation of income certifications in accordance with IRS Code

• Maintain current knowledge of federal, state, and local housing authority regulations and requirements applicable to specific managed properties

• Train or guide the work of other team members on occasion

• Perform other duties as assigned

Required Knowledge, Skills, Abilities

• Proficient with Microsoft Office Suite

• Able to add, subtract, multiply and perform basic math calculations

• Proficient with property management software (we use Real Page OneSite)

• Professional and friendly demeanor, with the ability to communicate well in person, over the phone and in writing

• Able to work on several projects simultaneously, maintaining timeliness and accuracy

• Able to work independently and collaboratively, anticipate problems, and implement effective solutions

• Attention to detail

Required Education, Certifications/ Licenses, Related Experience

• Diploma or GED required

• Two years of property management or related experience

• Relevant certifications for property management and affordable housing. Examples include the LIHTC, HCCP or SHCM Certification as well as CAM and/or Apartment Residential Manager (ARM) certifications

• Bilingual preferred (English and Spanish)

• This position may travel between site locations up to 30% of the time
