JOB DESCRIPTION SUMMARY

Supports and assists the Community Manager in overseeing and managing the financial and operational aspects of the community by completing accounting and bookkeeping tasks, preparing monthly financial reports, processing invoices, collecting rent and fees, completing bank deposits, dispositions, and account reconciliations, and using property management software to record, track, and report all financial activities.

KEY RESPONSIBILITIES
  1. Complete daily financial transactions such as collecting and posting rent, fees, and other payments, preparing bank deposits, and reconciling accounts.
  2. Operate property management software (Yardi/OneSite) accurately and ensure data integrity through updates and backups.
  3. Review resident files and billing records to identify unpaid or late fees, communicate with residents, and implement collection procedures to maximize revenue.
  4. Review and process vendor invoices, ensuring proper documentation, approval, coding, and communication with relevant parties.
  5. Follow established procedures for evictions, including notices, court representations, and legal compliance.
  6. Manage resident move-outs, applying deposits and fees as appropriate, and processing dispositions legally and accurately.
  7. Respond promptly to resident complaints and requests to promote satisfaction and retention.
  8. Act as the on-site supervisor in the absence of the Community Manager, organizing daily operations and coordinating maintenance activities.
  9. Assist in managing relationships with owners by providing community performance updates and responding to inquiries.
PHYSICAL DEMANDS
  • Ability to stand, walk, sit, bend, climb ladders, reach, carry objects, and crawl in confined spaces.
  • Work inside and outside in various weather conditions.
  • Lift and maneuver weights up to 25 pounds independently and 50 pounds with assistance.
  • Flexibility to work evenings, weekends, and holidays, and occasional travel as needed.
