Job summary

FirstService Residential in Chicago’s Loop is seeking an Assistant Community Association Manager to support the Community Association Manager with administrative and project duties. You will handle lease administration, income/expense management, and resident relations while working in a fast-paced environment.

The role is based in the Loop, Chicago, IL, and involves coordinating moves, reports, and newsletters with a focus on client satisfaction and process efficiency.

Qualifications

  • Active Community Association Manager license in Illinois.
  • Superior oral and written communication skills.
  • Ability to multi-task and prioritize multiple projects.
  • Experience in community management or related field preferred.

Responsibilities

  • Organize and maintain homeowner and administrative files and perform annual file cleanout.
  • Manage leases within the building and track leases through the Master Lease List.
  • Maintain service levels with residents, vendors, and staff, referencing governing documents.
  • Assemble Board Packets in a clean, professional format.
  • Update and generate association and management reports as directed by the Community Manager.
  • Coordinate moves, deliveries, and resident contractors, collect move fees and deposits, and obtain insurance documents.
  • Coordinate printing and distribution of monthly newsletter and upload to Connect and Community Website.
  • Address resident disputes and foster positive relationships between residents and management.

Job Overview:

As an Assistant Community Association Manager, you’ll be responsible for supporting the Community Association Manager through timely completion of assigned administrative and project duties. Youl will hold expertise in the areas of lease administration, income/expense management and administration, and resident relations.

This opportunity is available in the Loop neighborhood of Chicago, Illinois.

Your Responsibilities
  • Organize and maintain all homeowner and administrative files and perform annual association file cleanout in accordance with company standardized hard copy and electronic system.
  • Manage and process all leases within the building, including uploading lease to Connect and tracking of leases through the Master Lease List.
  • Maintain a level of service excellence in all interactions with residents, vendors, staff, and colleagues with knowledge and enforcement of the Community Governing Documents. Respond to client communications and address issues within one business day.
  • Assemble Board Packets in a clean, orderly, and professional fashion.
  • Update and generate required association and management reports as instructed by the Community Manager.
  • Manage all moves, deliveries, staging, and resident contractors for elevator use, utilizing move calendar, including collection of move fee and deposit, and obtaining appropriate documents and proof of insurance.
  • Coordinate printing and electronic distribution of monthly newsletter, as well as uploading document to Connect and Community Website.
  • Update and generate required association and management reports as instructed by the Property Manager.
  • Monitor and address resident disputes as required and build a positive relationship between residents and management.
Skills & Qualifications
  • Active Community Association Manager license in the state of Illinois.
  • Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions.
  • Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time.
  • Superior oral and written communication skills.
  • Community management experience or equivalent professional experience in a related field strongly preferred.
