Job summary

FirstService Residential is seeking an Assistant Community Association Manager in Chicago's Magnificent Mile to support the Community Association Manager with administrative and project duties. You’ll gain expertise in lease administration, income/expense management, and resident relations.

This role emphasizes organized file handling, lease processing in Connect, move coordination, board packet assembly, and reporting. Illinois CAM license and strong communication are required.

Qualifications

  • Illinois license to practice Community Association Manager (CAM) is required.
  • Must communicate effectively, both verbally and in writing.
  • Ability to multi-task and prioritize competing projects.
  • Strong collaboration with coworkers, clients, residents, and vendors.
  • Experience in community management or related field preferred.

Responsibilities

  • Organize and maintain homeowner and admin files; perform annual file cleanout.
  • Manage leases, upload to Connect, and track leases on the Master Lease List.
  • Provide excellent service in all resident interactions while enforcing governing documents.
  • Assemble Board Packets in a professional format.
  • Update and generate required association and management reports as instructed.
  • Coordinate moves, deliveries, and resident contractor logistics for elevator use.
  • Coordinate monthly newsletter publishing and document uploads to Connect and website.
  • Address resident disputes and build positive relations between residents and management.

Job Overview:

As an Assistant Community Association Manager, you’ll be responsible for supporting the Community Association Manager through timely completion of assigned administrative and project duties. Youl will hold expertise in the areas of lease administration, income/expense management and administration, and resident relations.

This opportunity is available in the Magnificent Mile neighborhood of Chicago, Illinois.

Your Responsibilities
  • Organize and maintain all homeowner and administrative files and perform annual association file cleanout in accordance with company standardized hard copy and electronic system.
  • Manage and process all leases within the building, including uploading lease to Connect and tracking of leases through the Master Lease List.
  • Maintain a level of service excellence in all interactions with residents, vendors, staff, and colleagues with knowledge and enforcement of the Community Governing Documents. Respond to client communications and address issues within one business day.
  • Assemble Board Packets in a clean, orderly, and professional fashion.
  • Update and generate required association and management reports as instructed by the Community Manager.
  • Manage all moves, deliveries, staging, and resident contractors for elevator use, utilizing move calendar, including collection of move fee and deposit, and obtaining appropriate documents and proof of insurance.
  • Coordinate printing and electronic distribution of monthly newsletter, as well as uploading document to Connect and Community Website.
  • Update and generate required association and management reports as instructed by the Property Manager.
  • Monitor and address resident disputes as required and build a positive relationship between residents and management.
Skills & Qualifications
  • Active Community Association Manager license in the state of Illinois.
  • Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions.
  • Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time.
  • Superior oral and written communication skills.
  • Community management experience or equivalent professional experience in a related field strongly preferred.

Compensation
