Job summary

Episcopal Children’s Services, Inc. seeks a versatile administrative professional to assist the Center Manager with daily operations in a busy childcare setting.

You will promote an inclusive educational environment, support teachers with curriculum and data, and help maintain records, schedules, and compliance with DCF licensing and ECS policies. Strong multitasking and communication skills are essential.

Qualifications

  • Associate’s degree preferred with 1–3 years administrative experience.
  • Director’s Credential; VPK endorsement preferred or to be obtained within the first year.

Responsibilities

  • Assist the Center Manager with day-to-day operations.
  • Promote a culturally sensitive educational program developmentally appropriate for each child.
  • Ensure classrooms meet high-quality learning environment standards.
  • Support teachers in curriculum implementation, observations, and analysis of child data.
  • Assist with scheduling and staffing to meet center needs.
  • Maintain staff files per DCF regulations.
  • Coordinate and maintain records for the USDA food program.
  • Track inventory and coordinate purchases (food, office, program, diapers, health supplies).
  • Maintain petty cash and monthly reconciliations.
  • Keep the office neat and inviting for visitors.
  • Greet staff, parents, and visitors; provide prompt information.
  • Respond to inquiries by phone; maintain classroom records system.
  • Assist in data entry of staff records and observations.
  • Prepare monthly center newsletter with Center Manager and Family Advocate.
  • Participate in daily site maintenance and report needs promptly.
  • Provide classroom support and model appropriate interactions.
  • Complete monthly forms, checklists, and logs (health, safety, attendance).
  • Address parent concerns promptly; email summary to Center Manager the same day.
  • Guide staff on ECS policies and licensing rules; ensure compliance.
  • Assist in planning monthly staff meetings and training new staff.
  • Maintain Parent Board with Family Advocate; keep information up‑to‑date.
  • Calculate Non‑Federal Share monthly and submit NFS report to Lead FA.
  • Pursue education and professional development goals.
  • Perform other duties as required.

Responsibilities
  • Assist the Center Manager with day‑to‑day operations of the center.
  • Promote a culturally sensitive educational program that is developmentally appropriate for each child’s age and language.
  • Ensure classrooms meet high‑quality learning environment standards.
  • Support teachers in curriculum implementation, child observations, and analysis of child data.
  • Assist with scheduling and maintaining a sufficient number of staff to meet the center’s needs.
  • Maintain complete and accurate staff files in accordance with DCF regulations.
  • Coordinate and maintain all records for the USDA food program.
  • Track inventory and coordinate purchases for the center, including food service supplies, office supplies, program supplies, diapers & wipes, and health supplies.
  • Maintain center petty cash fund and complete monthly reconciliation reports.
  • Keep the office area neat and organized; maintain a clean, inviting space for visitors.
  • Greet staff, parents, and visitors and provide prompt and courteous attention.
  • Answer the phone and provide accurate information.
  • Maintain system for classroom records.
  • Assist in data entry of staff records, classroom, and child assessments.
  • Prepare and distribute the monthly center newsletter in collaboration with the Center Manager and Family Advocate.
  • Participate in daily site maintenance and report maintenance needs promptly.
  • Provide classroom support and model appropriate interactions as needed.
  • Complete administrative tasks such as monthly food forms, health and safety checklists, and attendance logs.
  • Handle parent concerns in a timely and professional manner; document by emailing a summary the same day to the Center Manager.
  • Guide staff to ensure ongoing compliance with DCF licensing regulations, ECS policies and procedures, and accreditation standards.
  • Assist in planning and conducting monthly staff meetings.
  • Assist in training new staff on ECS mission, policies, and procedures.
  • Maintain the Parent Board with the Family Advocate, keeping information up‑to‑date and relevant for parents.
  • Calculate the Non‑Federal Share monthly and submit the center NFS report to Lead FA.
  • Pursue education and/or professional development goals.
  • Perform other job‑related functions as required.
Organizational Relationship
  • This position reports to the Center Manager.
Education and Experience
  • Associate’s degree preferred with 1‑3 years related administrative experience required.
  • Director’s Credential; VPK endorsement preferred or to be obtained within the first year of employment.

Certifications
  • Complete TB screening before direct contact with children; renew every 2 years.
  • Complete DCF required 45‑hour training within 12 months of employment, if applicable.
  • Complete online Food Handlers course “Serving Safe Food in Childcare” within 90 days of employment.
  • Maintain current First Aid and Pediatric CPR training.
  • Complete at least 25 hours of in‑service training annually (July 1‑June 30).
Environmental Conditions
  • Works inside a childcare setting.
  • Some travel required.
Essential Physical Skills
  • Acceptable eyesight (with or without correction).
  • Acceptable hearing (with or without correction).
  • Ability to communicate orally and in writing.
  • Ability to lift up to 50 lbs.
