Overview

Job Overview: The Assistant Association Manager (AAM) assists the lead manager(s) in overseeing a portfolio of Commercial Property Owner Association (CPOA) accounts to ensure business is executed in a timely and accurate manner in accordance with the Association governing documents, MarWest policies and procedures, California Civil Code and other applicable regulations. Accounts are throughout Orange County and Southern California. The AAM is a self-accountable, organized, proactive individual who provides administrative support and works with the leader to ensure the properties within the portfolio are professionally managed. The AAM will establish relationships with vendors, colleagues and owner clients, and owns certain operational aspects to ensure compliance and reduce liability. The AAM must understand and meet leader expectations related to support on their portfolio and remain service-oriented, accessible and accountable. MarWest Commercial, a division of FirstService Residential, specializes in the formation and management of commercial property owners associations. More than 360 commercial properties are under management across the United States.

Compensation: $23-25/hr. The company will compensate the successful candidate in accordance with the posted range. The salary will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client’s property, salary will also be premised on the client’s directive. The base pay range is subject to change and may be modified in the future.

Responsibilities
  • Gain a working knowledge of MarWest systems and networks (including RMIS, Avid, Jenark, etc.) as trained by Manager and assimilate standard operating policies and procedures.
  • Proactively inspect landscape and other common amenities and initiate and oversee timely repairs and maintenance activities.
  • Correspond with owners for maintenance requests, assessment statements, compliance and violations.
  • Gather detailed bids from vendors, review and follow up with vendors. Schedule annual items such as FLS inspections, roof maintenance and tree trimming.
  • Draft memos, meeting minutes or other communications to clients as directed.
  • Assess and monitor properties; identify opportunities for improved communication or service delivery methods.
  • Learn, understand and implement property governing documents (CC&Rs, By-Laws, Rules) and ensure requirements are followed.
  • Adhere to Company Global Service Standards and maintain high standards of personal and professional conduct.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Update property information such as property profiles and owner contact lists.
  • Perform special projects, tasks and other related duties as assigned.
Skills & Qualifications
  • Strong written and verbal communication; active listener who can anticipate issues and drive for mutually satisfactory resolution.
  • Working knowledge of Microsoft Word, Excel and Adobe.
  • Service-oriented mindset with multitasking abilities and a flexible, resilient attitude.
  • Ability to instill confidence in board members and residents by being prepared, knowledgeable and professional.
  • Ability to handle conflict and work well under pressure.
Education & Experience
  • Undergraduate degree preferred. California Real Estate License a plus.
  • 2 or more years of property management experience preferred.
Physical Requirements and Working Environment
  • Must be able to lift 25 lbs.
  • Must be able to sit and stand for extended periods.
  • Must be able to communicate with clients in person and on the phone.
  • Finger dexterity for typing/keyboard use.
  • Mobility to move around office and properties; may include lengthy walks in uneven areas.
  • Occasional evenings, holidays and weekends may be required; schedule is subject to change based on business needs.
