Job summary

IU Health's Riley Urology Clinic in Carmel, IN seeks an Administrative Assistant to support a fast-paced outpatient urology setting. The role performs pre-operative reminders, manages clinic documentation, and assists providers and staff on-site.

Hours are Monday–Friday, up to 24 per week, with benefits eligibility and potential to move to a hybrid schedule in the future. Strong organization and MS Office skills are required; MA or medical office experience is a plus.

Qualifications

  • High School Diploma or GED required.
  • 0-3+ years of relevant experience; administrative experience preferred.
  • Proficient with Microsoft Office (Word, PowerPoint, Excel).
  • Ability to work in a fast-paced, complex, and matrixed organization.
  • Strong organizational skills with the ability to manage multiple priorities.

Responsibilities

  • Making pre-operative reminder calls for clinic cultures.
  • Locating and managing clinic images and documentation.
  • Providing administrative support to the Riley Urology Clinic.
  • Assisting providers, nurses, and clinical team members as needed.
  • Performing additional tasks as assigned to support clinic operations.
  • Managing priorities effectively in a busy clinical setting.

Administrative Assistant - Urology Clinic

Location: North MOB

Schedule: Monday-Friday, 8:00 AM-4:30 PM- ***UP TO 24 HOURS PER WEEK***BENEFITS ELIGIBLE***

Work Model: On-site (with potential to move to a hybrid schedule in the future)

This role provides essential administrative and clinic support in a fast ‑ paced outpatient urology environment. The individual will work closely with providers, nurses, and clinic staff to support daily operations and patient care.

What Success Looks Like:

At 3 Months:

  • Working independently with mentor support
  • Understanding clinic workflows and priorities

At 6 Months:

  • Fully independent in assigned responsibilities
  • Confidently managing daily administrative and clinic tasks

At 12 Months:

  • Independently handling responsibilities while expanding skills
  • Taking on new tasks
  • Identifying opportunities and making recommendations for process improvements
Key Responsibilities:
  • Making pre-operative reminder calls for clinic cultures

  • Providing administrative support to the Riley Urology Clinic
  • Assisting providers, nurses, and clinical team members as needed

Skills & Qualifications for Success:

  • Strong team player who works well with clinical and administrative staff
  • Ability to identify issues and prioritize tasks based on urgency and importance
  • Medical Assistant (MA) experience or medical office experience is a plus
  • Comfort working in a fast ‑ paced , patient ‑ focused environment
Administrative Support Functions:
  • Provides basic administrative and technical support to leaders and teams
  • Manages calendars, schedules, and meeting coordination
  • Coordinates travel arrangements when applicableProcesses invoices and handles routine inquiries
  • Addresses basic administrative and technical issues with general guidance
Required Qualifications:
  • High School Diploma or GED required
  • 0-3+ years of relevant experience required; previous administrative experience preferred
  • Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel
  • Ability to work effectively in a fast ‑ paced , complex, and matrixed organization
