Position Description:
Manage furniture, fixtures, and equipment (FF&E) for new, renovated, and swing space projects, including programming, specification review, budgeting, procurement, scheduling, installation, and punch list activities. Oversee move management, including scope creation, bidding, bid analysis, coordination, scheduling, onsite oversight, and punch list completion to ensure functional occupancy of buildings.
Responsibilities:
- Provide FF&E selection, procurement, and move-in/relocation management services, including programming, budgeting, scheduling, installation, and close-out activities.
- Coordinate with procurement for purchasing using best-value or low bid contracts.
- Collaborate with project teams and stakeholders to define scope, budget, and schedule; visit sites to understand project sequencing.
- Identify swing space needs, coordinate space allocation, and develop scope for construction or FF&E work.
- Assess reuse potential of existing furniture and equipment.
- Create and validate FF&E budgets at key milestones.
- Participate in weekly meetings to coordinate specifications, layouts, and lists for FF&E.
- Review design documents to ensure infrastructure compatibility and coordinate with IT for technology installations.
- Ensure project budget and schedule adherence, providing value engineering as needed.
- Coordinate logistics for FF&E delivery, installation, and transition phases.
- Manage procurement of specialty contractors and movers as required.
- Oversee delivery, access, and asset tagging of FF&E, including disposition of surplus items.
- Arrange for access and security during move phases.
- Maintain documentation related to FF&E and move activities, including proposals, purchase orders, and invoices.
- Manage project close-out activities for FF&E and move services.
- Provide status reports and updates to management.
Minimum Qualifications:
- 4-year degree in architecture, interior design, construction/project management, planning, facilities management, or related field.
- 12-20 years of project management experience in move/relocation, interior design, facilities management, or procurement of FF&E.
- Ability to read architectural and furniture drawings.
- Knowledge of furniture and equipment specifications and procurement processes.
- Flexibility to work across multiple college sites.
- Strong communication, organizational, and interpersonal skills.
- Proficiency in Microsoft Office and Adobe Acrobat or Bluebeam.
Preferred Qualifications:
- Experience with educational and public works projects.
- Procurement, FF&E sourcing, or asset management experience.
- Proficiency in AutoCAD, Visio, or design software.
- Interior Design Certification (CID, CCIDQ) and membership in professional organizations (IIDA, AIA, IFMA, LEED).
