Under the general direction of the Director of Surgical Services and Vice President of Surgical Services, the Facility Administrator directs the staff and programs of the Ambulatory Surgery Center. Develops and approves standards and guidelines for ambulatory services and programs. Collaborates with the Medical Director and Nurse Manager to ensure high standards of surgical services.
Essential Duties and Responsibilities
- Manage operations of the assigned facility according to policies, protocols, orders, and regulations.
- Utilize comparative information and principles of continuous quality improvement to drive efficiencies; oversee quality management efforts alongside clinical staff and leadership.
- Work with Medical Director and Nurse Manager to ensure clinical care meets regulatory standards; implement patient care orders and protocols with attending physicians.
- Manage employee relations and HR activities to meet patient care needs within budgets and staffing patterns, supported by HR staff.
- Coordinate with procurement staff to manage supplies and inventory, ensuring necessary materials are available and internal controls are maintained.
- Demonstrate leadership and communication skills to motivate staff; conduct staff meetings to ensure effective communication and regulatory compliance.
- Collaborate with the compliance team to meet licensure, CMS conditions, and accreditation standards.
- Identify procedural inefficiencies and recommend improvements.
- Act as liaison for providers regarding surgical, operational, or other issues.
- Ensure key performance indicators are met across departments.
- Support revenue cycle processes, including patient scheduling, registration, documentation, billing, and collections.
- Address patient grievances in coordination with the compliance team.
- Create and analyze reports related to facility operations; participate in governing body meetings as needed.
- Develop strategies to meet or exceed budget goals.
- Adhere to facility policies and complete required in-service training.
- Participate in quality improvement activities.
- Maintain patient privacy and confidentiality at all times.
- Ensure efficient surgical workflow and develop standard operating procedures with providers and nursing staff.
- Oversee software solutions, identifying areas for improvement and managing vendor relationships.
- Conduct monthly staff meetings and oversee front office administration, including customer service and revenue cycle responsibilities.
- Manage payroll activities, including timesheets, PTO, and reporting.
- Promote a culture aligned with the facility’s mission, vision, and values.
- Ensure compliance with operational and facility standards with assistance from the compliance and medical officers.
- Manage accounts payable and month-end reporting accurately and timely.
- Minimum 3 years of ambulatory surgery operations management experience required.
- Bachelor’s degree preferred; RN license required; BLS & ACLS certifications required.
- Strong knowledge of regulations, accreditation standards, and quality standards.
- Proven leadership and team development skills, with financial management experience.
- Excellent communication, interpersonal, organizational, and problem-solving skills.
- Ability to work beyond normal hours, including weekends if necessary.
- Intermediate proficiency in Microsoft Office suite.
