Job summary

Walker Art Center in Minneapolis is seeking a School and Gallery Programs Coordinator to schedule in‑school residencies, tours, and self‑led visits for K‑12, college, adult, accessibility, and senior groups. They will staff Educators, draft contracts, process payments, and ensure clear communication with teachers, external clients, and internal stakeholders across departments.

Qualifications

  • Minimum 2–4 years of administrative experience and/or experience working within a scheduling software.
  • Experience with CRM systems required, Tessitura, Artifax, and Momentus Elite preferred.
  • Detail-oriented approach to work; demonstrated excellence in organization, prioritization, and time-management.
  • Demonstrated ability to communicate effectively with teachers, visitors, staff, and diverse stakeholders.

Responsibilities

  • Process tour, Art Lab, In-School Residency, and self-led visit requests and input into databases with high attention to detail.
  • Respond to inquiries about tours and provide information and documentation before visits to patrons, teachers, ASL interpreters, etc.
  • Schedule Educators to ensure coverage for all programs, tours, meetings, trainings, and duties.
  • Communicate with internal and external stakeholders to ensure efficacy and safety of tours and programs.
  • Liaise with Educators to find substitutes and ensure coverage for programs.
  • Coordinate Walker’s tour and Art Lab schedules and communicate conflicts to managers.
